Minimum Position Qualifications

Working Conditions

While performing the duties of this job, the employee is regularly required to sit, use hands to handle or feel, and talk or hear. The employee frequently is required to walk. The employee is occasionally required to stand, reach with hands and arms, and stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision.

Additional Working Conditions

Employee may be required to attend recruiting events and local and regional professional conferences outside of typical work hours (e.g., evenings, weekends).

Job Duties

Creates, organizes, and maintains electronic and paper records for all graduate students (master’s and doctoral level); makes records available to appropriate faculty; completes University paperwork for all applicants and current students.

Receives communication from, directs communication to, and assists current graduate students and graduate program alumni; provides procedural information and answers inquiries related to operational and substantive matters; serves as source of information for officers in the Psychology Graduate Student Association; may provide advising (e.g., regarding course scheduling and registration) for current graduate students.

Assists in administering surveys, collecting data, and utilizing word processing, spreadsheets, and database software to enter and summarize data from graduate programs.

Assists graduate coordinator and graduate program directors in updating and maintaining graduate program websites, handbooks, and forms (including those posted on the department websites), instructions in the application portal (SLATE), and forms related to curriculum changes (in Curriculog); ensures all forms are current and incorporates policy changes made by the Graduate College.

Receives and responds to incoming phone calls and emails from prospective students and applicants to graduate programs; provides information and guidance or refers to appropriate graduate program directors, staff in the graduate school, or other university employees.

Responsible for verifying prerequisites and issuing pins and permits for graduate students enrolling in courses each semester.

Attends and contributes to department and graduate program meetings. Offers reports and acts upon recommendations from these meetings.

Aids program directors when conducting graduate student evaluations; responsible for recording decisions made; sends evaluations to the students and files the evaluations.

Renders final decisions for incoming applications in the online application portal (SLATE) based on guidance from graduate directors; prepares and distributes acceptance and rejection letters to applicants.

Assists in planning and implementing new graduate student orientation meetings, conferences, and special events supporting graduate programs.
