Overview
Wil-O-Paw Animal Hospital has an opportunity for a part-time Veterinary Receptionist to join our team. This position is (-29 hours/week), 2-3 days per week with the possibility of full-time in the future. Rotating Saturdays.
Location: 4809 Paw Paw Lake Rd, Coloma Charter Township, MI 49038
Pay Range: $15.00 - $17.00/hour (based on experience)
Job Summary: The Receptionist is the first and last contact a client will have with the hospital and plays a key role in creating first and lasting impressions. The Receptionist must have exceptional client service and communication skills, computer literacy, the ability to handle payment and financial issues, the ability to multi-task, a friendly attitude and confidence to deal with stressful situations. The Receptionist will support veterinarians, technicians, veterinary assistants, groomers and kennel staff in daily patient and client care.
Responsibilities
- Maintain and uphold the Core Values and Mission Statement of MPH.
- Greet clients and pets by name with a smile and a positive, solution-oriented attitude.
- Answer phones promptly and professionally using a multi-line phone system; handle inquiries about basic animal care, routine procedures, veterinary services and products; provide knowledgeable advice about wellness, prevention, and diseases.
- Screen and route calls to appropriate staff; take and deliver messages promptly; pull medical records to assist staff in documenting information.
- Schedule appointments and surgeries according to hospital scheduling guidelines; make confirmation calls.
- Note in medical records the details discussed during client conversations, including date, time, key points and any required information.
- Enter accurate charges; explain invoices and services provided; echo doctors’ recommendations at checkout.
- Collect payment for services, process payments (cash, cards) and obtain proper ID for checks.
- Verify eligibility of clients with charge accounts.
- Check medical and computer records for accurate contact information and scan new documents to patient records.
- Fill prescription refill forms and provide routine administration instructions to clients.
- Advise clients on flea/tick preventatives, heartworm preventatives, pre-anesthetic testing, pain management, shampoos, home dental products and other retail items.
Qualifications
- Demonstrated commitment to MPH core values.
- Computer knowledge, keyboarding and use of communication tools (email/internet).
- Working knowledge of veterinary terminology; ability to pronounce, spell and understand meanings.
- Excellent spelling and grammar.
- Ability to handle varied and sometimes difficult conditions; exposure to highly emotional situations.
- Ability to display tact and respect with clients and team members, even when busy or hectic.
- Capable of remaining confident, calm, and professional with clients and staff in stressful or focused tasks.
- Genuine liking for animals and their owners and for working in an animal care field.
