About the role: We're seeking an Executive Assistant to ensure smooth and efficient management of the Chief Financial Officer (CFO), Vice President Government and Corporate Affairs, Senior Vice President of Technology and New Ventures, while maintaining a high level of organization and time management to meet schedules and deadlines.

Day-to-day, you will:
- Manage and implement overall administrative support to the designated North American Leadership team members. This includes day-to-day activities such as proactively managing calendars, assisting with phone and e-mail correspondence, arranging meetings, reserving meeting rooms, and organizing catering and audio/visual essential services.
- Efficiently adapt to changing priorities, ensuring flexibility to work out of normal hours if required (evenings and weekends when needed).
- Proactively act in anticipation of future problems, needs, or changes, using curiosity and initiative to achieve strong outcomes.
- Liaise with senior internal and external stakeholders, adjusting the executives' calendars as necessary to ensure meetings can be prioritized.
- Support cross-company initiatives, special projects and company reporting requirements.
- Foster and maintain positive and productive relationships with Australian and North American Leadership teams.
- Answer incoming emails and calls, and provide support by taking detailed messages that allow the executive to respond effectively.
- Organize domestic and international travel arrangements and proactively manage expense reports to meet all compliance requirements.
- Support in the preparation of presentations, reports, procurement matters and general correspondence.
- Develop memos and draft correspondence; prepare agendas and distribute meeting materials.
This role will suit someone with a curious mind and transferable skills and experiences, including:
- Extensive experience as an assistant to a senior level executive in a corporate environment, carrying out administrative and critical tasks as noted above.
- Excellent time management and organizational skills, including the ability to work on multiple tasks/projects at any one time.
- Proven ability to take on new responsibilities and autonomously provide solutions.
- Willingness to learn about the business and understand how a range of market activities work in a matrix structure.
- Flexibility to commit to occasional evening and weekend work.
- Great communication and interpersonal skills, with an ability to interact with a diverse range of stakeholders at all levels.
- Strong written communications skills.
- Confident demeanor and diplomacy with the ability to liaise with people at all levels.
- Demonstrated strong customer focus and a team player willing to apply initiative in the work environment.
- Excellent report production and presentation production skills.
