We are seeking a dedicated Executive Assistant to provide high-level support to the Principal of Metro Development Group. In this role, you will help manage Metro’s day-to-day operations while also supporting ULTRAFi, Metro’s high-speed internet and smart-home technology platform. The position plays a critical role in managing priorities, driving follow-up, and ensuring seamless execution across both Metro and ULTRAFi initiatives in a high-traffic, fast-paced environment.
The ideal candidate is highly organized, detail-oriented, and reliable, with a strong sense of ownership. They will serve as a trusted partner, keeping track of commitments, following through relentlessly, and ensuring the executive’s priorities are managed efficiently. This role requires a highly adaptable individual who can manage priorities during and beyond standard office hours, complements the executive’s strengths, maintains a positive personality, and thrives in an environment with frequent interruptions.
Schedule
In-office, Monday through Friday, starting at 8:30 a.m. and typically ending between 5:30–6:00 p.m., with flexibility for extended hours as required to support the Principal’s priorities. Occasional weekend work may be required, which can typically be completed remotely.
Responsibilities
- Manage the Principal’s calendar, meetings, and communications with professionalism, clarity, and conciseness.
- Take accurate and actionable meeting notes, track follow-ups, and ensure deadlines are met without constant direction.
- Support ULTRAFi operations, including contract tracking, billing coordination, research, and process organization (approximately 25% of role).
- Draft professional correspondence, reports, and summaries aligned with the Principal’s style and voice.
- Organize, prioritize, and execute administrative and operational tasks efficiently in a high-energy environment.
- Collaborate effectively with cross-functional teams and stakeholders to ensure smooth execution of initiatives.
- Maintain confidentiality and handle sensitive information with integrity and discretion.
- Utilize technology and organizational tools (Microsoft Office, Outlook, Excel, and other platforms) to streamline processes.
- Exhibit flexibility to manage occasional after-hours or remote tasks when required.
- Anticipate needs, identify gaps, and proactively resolve issues before they escalate.
- Serve as a reliable point of contact for internal and external partners, ensuring all action items are completed and communicated effectively.
Qualifications
- Minimum 5 years’ experience in an Administrative Assistant, Executive Assistant, or similar support role.
- Exceptional organizational skills with the ability to manage multiple priorities and follow through with precision.
- Strong written communication skills, including concise email drafting, professional correspondence, and clear reporting.
- Excellent note-taking skills and follow-up discipline in high-volume environments.
- Strong problem-solving skills with the ability to think independently, adapt quickly, and make sound, informed decisions.
- Self-motivated, detail-oriented, and accountable, capable of completing tasks efficiently with minimal oversight.
- Tech-savvy and comfortable with Microsoft Office, scheduling platforms, and productivity tools.
- Integrity and discretion in handling confidential information.
- Ability to thrive in a fast-paced, high-interruption environment.
- Flexibility to work beyond regular office hours as needed.
Preferred Qualifications
- Experience supporting multiple business lines or operations simultaneously.
- Familiarity with contract tracking, billing processes, or project coordination.
- Previous exposure to executive-level decision-making and cross-functional collaboration.
- Positive attitude with a sense of humor and the ability to complement an executive’s work style.
