Overview

Legal Secretary – Oakland at Burke, Williams & Sorensen, LLP is a full-time, non-exempt position. This role is based in our Oakland office. It is a 7.5-hour day role. Our current arrangement is to work 2 days on-site and 3 days from home weekly upon satisfactory completion of the introductory period. This arrangement may be changed at any time based on business needs and decisions.

Responsibilities

  • Provide secretarial and administrative support to an Owner, an Income Partner, and an Associate with Litigation, Construction, and Business Law practices. This assignment is subject to change based on business needs.
  • Provide backup support to other secretaries during planned and unplanned absences.
  • Draft, proofread, and revise documents including pleadings, correspondence, memoranda, letters, emails, and investigation reports.
  • Exercise strong judgment and maintain confidentiality.
  • Timely file documents with various courts and administrative bodies, including electronic filing where applicable.
  • Assist with preparation for meetings, depositions, hearings, mediations, trials, and other proceedings.
  • Review incoming mail and route it to the appropriate parties, including attorneys and the Firm’s Calendaring/Docketing Department.
  • Review and maintain electronic case and administrative files.
  • Maintain assigned attorneys’ calendars to track meetings, hearings, depositions, court dates, and other due dates, as well as maintain attorneys’ contacts.
  • Enter attorney time according to Firm billing practices; coordinate with the Firm’s billing personnel to facilitate timely review of monthly billing statements and client invoicing.
  • Create New Client Matter Memos, including tracking the status of each.
  • Prepare check requests and coordinate payment to vendors as necessary.
  • Assist with travel arrangements and prepare and track expense reimbursements.
  • Ability to work overtime as needed.
  • Other duties and responsibilities as assigned.

Qualifications

  • High school diploma required; Bachelor's degree preferred.
  • Minimum of 7–10 years of legal secretary experience, preferably supporting a Partner/Principal or Senior Attorney.
  • Prior experience in Litigation, Construction, and Business Law is desirable, though not required.
  • Proven track record of strong customer service skills.
  • Clear and effective written and verbal communication skills.
  • Excellent organizational skills with the ability to multitask and meet deadlines in a high-pressure environment.
  • Ability to work independently as well as collaboratively, with strong problem-solving skills.
  • Proficiency in Microsoft Office Suite and Adobe Acrobat is required.
  • Knowledge of electronic document management systems, time-entry programs, and calendaring programs (NetDocuments, Best Authority, Compulaw/ProLaw; Aderant preferred).

Compensation

The pay range for this position is $85,000–$115,000 annually (hourly equivalent). Actual compensation will be commensurate with experience, qualifications, skillset, and track record. Annual discretionary bonuses, competitive health insurance benefits, and a 401(k) with partial employer match are offered when eligible for benefits.
