Overview
Davis Wright Tremaine has an exciting opportunity for a Legal Secretary to join our litigation team in our Sacramento office. This is a non-exempt position. We offer a hybrid work engagement with two days of remote work, and three days in-office.
Responsibilities
- Type, proofread, format and edit correspondence, pleadings, memoranda, agreements and other legal documents under time-sensitive deadlines. Some pleading drafting. Conversion of paper and electronic files to PDF format.
- Handle heavy court filings including serving pleadings with the court and on opposing and associated counsel at state, federal, and appellate levels across multiple venues.
- Open new client and new matter files.
- Maintain attorney and client files (paper and electronic) and maintain email and electronic files.
- Organize and maintain trial binders, working papers, and materials for business development.
- Review and save e-mails with attorney permission; delegate or escalate to the attorney as appropriate.
- Schedule remote hearing appearances, appointments, depositions and meetings; maintain calendars; arrange travel; set up conference calls.
- Track litigation deadlines and coordinate with docketing to ensure deadlines are properly docketed.
- Answer, screen and respond to phone calls.
- Open and route mail and email, attaching files and documents as needed.
- Enter attorney time into the time-keeping program and maintain CLE records for attorneys.
- Prepare and submit expense/reimbursement reports and vendor invoices.
- Process and edit prebills.
- Provide support to fellow secretaries and other attorneys; assist with operational and administrative tasks, including errands and coordinating meals or refreshments as needed.
- Maintain neatness of the office and conference rooms; assist with setup/cleanup of office functions; greet clients and visitors and direct them as needed.
Qualifications
- 5+ years’ experience as a litigation secretary.
- Strong word processing and computer skills: typing 85 wpm with high accuracy; proficiency in MS Office (Word, Outlook) and Power PDF/Adobe Acrobat; strong knowledge of Excel, timekeeping programs, NetDocs; ability to perform internet research.
- Experience filing documents with State and Federal Courts, including electronic filing; ability to read and understand court rules and ensure compliance with judge’s rules and practice.
- Experience with 9th Circuit and California Appellate Courts is preferred.
- High attention to detail and sensitivity to confidential materials; ability to follow client confidentiality guidelines.
- High energy; ability to work in a very fast-paced desk and with attorneys, prioritize effectively, and learn new programs and updates.
- Excellent grammar, proofreading, and organizational skills; strong verbal and written communication; ability to work in a team-oriented, service-focused environment and handle stressful situations calmly.
- Ability to communicate professionally by telephone with clients, firm members and other contacts; ability to prioritize tasks and handle multiple demands; ability to follow work instructions with minimal supervision; ability to read and write in English.
- High School Diploma or GED (Bachelor’s degree preferred).

Compensation
The annualized salary range for this position in Sacramento is $70,000 to $95,000 (about $35.90 – $48.72 hourly). Actual pay will be adjusted based on experience and other job-related factors permitted by law. Full-time employees may be eligible for bonuses and benefits including health/dental/vision, HSA options, disability coverage, life insurance, 401(k), paid time off, and employee assistance programs. Additional voluntary programs and commuter benefits may also be available.
