As we continue to grow, we are looking for a detail-oriented and reliable Part-Time Office Assistant to help keep our operations running smoothly.
The Office Assistant will provide administrative support to the team, helping with scheduling, customer service, claims follow-ups and job documentation. This role is ideal for someone who is organized, dependable, and comfortable working in a fast-paced environment. Prior experience in restoration, construction, or cleaning industries is a plus but not required.
Primary Responsibilities
- Answer phones, respond to emails, and provide excellent customer service.
- Schedule and confirm appointments, dispatch technicians, and manage calendars.
- Assist with preparing job files, estimates, invoices, and insurance documentation.
- Enter and maintain customer information and project notes in company systems.
- Support marketing efforts (social media posts, BNI tracking, flyers, etc.).
- File, scan, and organize records to ensure compliance and efficiency.
- Communicate with subcontractors and vendors as needed.
- Perform general office tasks including ordering supplies, managing mail, and maintaining a clean and organized workspace.
- Other duties as assigned
- High school diploma or equivalent; some college preferred.
- Prior office, customer service, or administrative experience required.
- Strong organizational skills and attention to detail.
- Proficient with Microsoft Office (Word, Excel, Outlook); QuickBooks/Xactimate experience is a plus.
- Excellent communication skills (verbal and written).
- Ability to work independently with minimal supervision
- Prolonged periods of sitting and computer work.
- Ability to lift up to 25 lbs. occasionally (office supplies, files, etc.).Ability to work in a variety of environments including those with high humidity, heat, cold, dust, odors, and damp conditions.
