Overview

The Executive Assistant / Office Manager provides comprehensive administrative support to the executive team and ensures the efficient operation of the office. This role requires a proactive, detail-oriented individual with excellent organizational and communication skills. Responsibilities include scheduling, travel arrangements, correspondence, office management, and coordination of internal and external communications.

Responsibilities

  • Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements
  • Prepare and edit correspondence, communications, presentations, and other documents
  • Manage and maintain office supplies, equipment, and vendor relationships
  • Coordinate office events, meetings, and employee activities
  • Assist with budget preparation and expense tracking
  • Maintain confidential files and records
  • Serve as a point of contact for internal and external stakeholders
  • Assist with onboarding new employees and managing office logistics
  • Ensure the office environment is clean, organized, and conducive to productivity
  • Support special projects as needed
  • Maintain a strong understanding of company policies and procedures
  • Coordinate with IT support for office technology needs
  • Handle incoming and outgoing mail and packages
  • Assist with the preparation of reports and presentations
  • Support the executive team with personal errands and tasks as needed

Qualifications

  • Proven experience (3+ years) as an executive assistant, administrative assistant, or office manager supporting 1-4 executives at a time
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent organizational and time-management skills
  • Strong written and verbal communication skills
  • Ability to handle confidential information with discretion
  • Experience managing multiple tasks and priorities simultaneously
  • Strong problem-solving skills and attention to detail
  • Ability to work independently and as part of a team
  • Experience with office management systems and procedures
  • Familiarity with basic accounting principles

Education

  • High school diploma required; bachelor's degree preferred

Pay Range: 85,000 - 110,000 USD per year (Denver, CO)
