Job Summary

The Administrative Assistant is a highly organized and self-motivated professional who will play a critical role in supporting the daily operations of a growing family office. The position covers a wide range of administrative responsibilities to help ensure the smooth management of personal financial, business, and property matters.

Our Family Office's mission is to preserve and grow the founding family's legacy through efficient stewardship – we are committed to sustaining the principals' impact on the community and future generations, made possible through the success of their family business.

The Administrative Assistant will work closely with and report to the Family Office Manager.

Key Responsibilities

  • Coordinate calendars and scheduling across personal and business domains
  • Conduct thorough research to support personal initiatives and business projects
  • Support property management tasks, including researching and coordinating maintenance, repairs, and vendor relationships
  • Assist bill payment tracking, help prepare financial and property-related reports
  • Monitor email inboxes, draft responses as needed
  • Assist organizing digital and physical records, including mail (if local)
  • Perform general administrative tasks and provide ad hoc project support as needed

Qualifications

  • Bachelor's degree preferred
  • 2+ years' experience in administrative support, office management, or related role
  • Proficiency with Google Workspace and Microsoft Office Suite
  • Demonstrated ability to handle confidential matters and sensitive information with utmost discretion and professionalism
  • Experience with bookkeeping, bill tracking, or financial reporting is a plus
  • Local candidates preferred for in-person support (e.g., physical mail)

Base pay range: $30.00/hr - $35.00/hr
