This is an in-office position located in Anchorage, AK.
Overview
Under the supervision of the Office Administrator, the Office Assistant is responsible for providing in-office support to Attorney Practice Coordinators and attorneys in reception, mail processing and distribution, records and file support, photocopying, scanning, office maintenance, clerical support, and other administrative tasks as assigned by the Office Administrator.
Responsibilities
- Responsible for timely and properly filing in NetDocuments.
- Responsible for accurately creating and submitting New Client Matters ("NCM") within firm standards.
- Provide reception services by greeting visitors and receiving and recording deliveries.
- Provide catering services to the office by ordering food for meetings requested by the Office Administrator or attorneys.
- Pick up, sort and scan mail and courier deliveries, process outgoing mail.
- Operate standard office machinery including laptops, copiers, multi-function printers and postage meter. Act as the contact person for reporting problems with these machines and contact service providers as appropriate with approval from the Office Administrator.
- Order supplies for the office including kitchen refreshments, office supplies and firm stationary from approved vendors.
- Assist Attorney Practice Coordinators and attorneys with files, both hard copy and electronic, by preparing subfile labels, creating file folders as requested, scanning documents into Net Docs, and maintaining hard copy files per firm policy. Coordinate with other firm departments and outside vendors as needed.
- Maintain office file records using File Trail, including preparing files to be sent off-site and calling back files from off-site storage.
- Serve as liaison with building management regarding local maintenance issues/repairs including lighting, janitorial issues, kitchen and bathroom issues, and other facility-related issues.
- Maintain reception area and ensure a neat, clean appearance by stocking refreshments and cleaning counters and tables.
- Ensure office supplies are regularly ordered, stocked and accessible; maintain copier/printer supplies and ensure regular maintenance and service as needed.
- Assist Attorneys and Practice Coordinators with administrative and client matter tasks and projects, and print/assemble binders as requested.
- Set up offices and workstations for new hires with necessary supplies; assist IT with laptops and conference room technical issues as needed.
- Regular and predictable attendance in the office is an essential function of the job.
- Other duties may be assigned.
Qualifications
- Ability to sort and organize documents for copy jobs.
- Strong knowledge of MS Word, Excel and Outlook.
- Ability to organize and prioritize numerous tasks and complete them under time constraints.
- Interpersonal skills necessary to communicate by email and telephone in a professional manner.
- Ability to work independently, be proactive, complete assigned tasks, and perform duties with minimal supervision.
- Willingness to work under a higher level of mental effort during high-volume clerical tasks.
- Ability to operate, maintain and stock supplies for standard office equipment, including laptops, printers, photocopiers and telephones.
- Courteous, cooperative, and able to work collaboratively with support staff, paralegals, and attorneys.
Experience Required
- Minimum of 3 years' job experience within a law firm and/or office environment.
