The Department of Orthopaedics at the University of Utah is seeking an experienced and motivated Office Administrator to support the Musculoskeletal Surgical Oncology Division and affiliated programs at the Huntsman Cancer Institute (HCI). This role requires a high degree of professionalism, discretion, and the ability to coordinate seamlessly across both entities. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment. Strong organizational skills, excellent communication, and the ability to manage multiple priorities are essential.

Responsibilities

  • Provide confidential, high-level administrative support to faculty and leadership.
  • Draft, edit, and manage professional communications.
  • Manage and prioritize multiple calendars, schedule meetings, and coordinate logistics.
  • Arrange travel and process reimbursements.
  • Resolve complex administrative matters independently.
  • Support remote meeting scheduling and hosting (domestic and international).
  • Plan and coordinate visits for visiting professors, faculty recruits, and scholars.
  • Organize and execute events.
  • Build and maintain effective working relationships with faculty, staff, leadership, and external partners.
  • Represent the division in interactions with public and private organizations at local and national levels.

Minimum Qualifications

  • Bachelor's degree in Business, Finance, Health Care Administration or a related field, or equivalency (one year of education can be substituted for two years of related work experience) required.
  • Two years office management and supervisory experience, demonstrated knowledge of finance and budgeting, and public relations skills required.
  • Demonstrated human relations and effective communication skills are also required.
  • This position is patient-sensitive and must fulfill all associated requirements. Immunization may be required according to CDC standards and hospital policy, with limited exemptions for medical contraindications or religious beliefs objecting to vaccinations.

Preferences

  • Proven ability to work independently, make informed decisions, and manage competing deadlines.
  • Strong organizational, coordination, and communication skills.
  • Familiarity with budgeting, finance, and public relations.
  • Demonstrated professionalism in handling sensitive and confidential matters.
  • Prior experience in higher education, healthcare, or research administration.
  • Event planning or project management background.
  • Experience supporting senior leadership or executives.
