Overview

The following duties are associated with the vacancy in the Capital District DDSO:

Responsibilities

  • Credit Card Unit - Reconcile procurement card transactions in the Statewide Financial System (SFS). Ensure all proper documentation is received and coded correctly in SFS. The unit handles over 800 procurement cards and more than 2,500 charges monthly. Transactions must be reviewed for appropriateness and compliance with established guidelines and reconciled/approved in SFS in a timely manner.
  • Accounts Payable Unit - Obtain authorization to pay invoices from field staff for goods/services. Possess excellent written and verbal communication skills. Utilize SFS for processing invoices for payment.
  • Purchasing Unit - Evaluate quotations, preferred sources, and OGS state contracts for processing requisitions into purchase orders. Enter requisitions into purchase orders with correct codes, encumber funds, solicit vendors through written price quotations, and ensure PO information is accurate and clearly described. Ensure correct quantities and extensions; distribute PO information to appropriate departments. Be familiar with state contracts and Preferred Sources and use these vendors appropriately; identify sources of supply for non-contract items within assigned accounts.
  • Perform special assignments at supervisory request. Knowledge of Excel is beneficial.
  • Telecommuting and/or a compressed work schedule will be discussed at the interview.

Qualifications & Appointment Types

  • Promotion: One year as an Office Assistant 1; or one year of permanent service in a clerical or keyboarding title allocated to Grade 6 or higher.
  • Open Competitive: One year of experience where most work time is spent performing mathematical operations, and/or clerical activities related to mathematical operations.
  • Competitive: Must be reachable for appointment on the current Civil Service eligible list used for filling this title.
  • Transfer: One year of permanent competitive, non-competitive or 55-b/c status in the posted title and eligible for lateral transfer; or eligible to transfer via Section 70.1, 70.4, or 52.6 of Civil Service Law. Transfers cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.

Additional Information

  • This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). HELPS titles may be filled via a non-competitive appointment, meaning there is no exam requirement but minimum qualifications must be met. At a future date (within one year of permanent appointment), employees hired under NY HELPS may be converted to permanent competitive status.
  • Starting salary reflects the Mid-Hudson adjustment. Posted Hiring Salary includes the statutory hiring rate for Grade 9 plus Mid-Hudson Adjustment.
  • OPWDD employees may be eligible for transfer under Civil Service rules. Preference will be given to certain impacted employees; indicate on resume if applicable.
