Assistant Office Manager needed for a Global Manufacturing and Distribution Organization. Supporting Office Manager in daily office operations, administrative tasks; managing supplies & equipment, coordinating meetings & schedules, handling correspondence, assisting with onboarding and HR duties, and maintaining office organization and a positive work environment. This role requires strong organizational skills, proficiency in MS Office Suite (Word, Excel, Outlook), excellent communication, and the ability to manage projects and support staff.

  • Provide administrative assistance to the Office Manager and other staff, managing correspondence, filing, data entry, and record keeping.
  • Help manage day-to-day office operations, including ordering and inventorying office supplies, ensuring equipment maintenance, and overseeing cleaning and security services.
  • Coordinate meetings, appointments, and company events, ensuring all necessary arrangements are made for staff and external visitors.
  • Handle incoming and outgoing communication, including phone calls, emails, and mail, and distribute relevant documents to staff.
  • Assist with human resources functions, such as onboarding new hires by setting up their workstations and maintaining employee files.
  • Support bookkeeping by paying invoices, managing office-related expenses, and assisting with petty cash management.
  • Strong skills in Microsoft Office applications, especially Word and Excel.
  • The ability to coordinate procedures, maintain organized records, and manage multiple tasks effectively.
  • Excellent verbal and written communication skills to interact with colleagues, vendors, and clients.
  • The ability to identify and implement improvements that increase efficiency and reduce costs.
