Assistant Office Manager needed for a Global Manufacturing and Distribution Organization. Supporting Office Manager in daily office operations, administrative tasks; managing supplies & equipment, coordinating meetings & schedules, handling correspondence, assisting with onboarding and HR duties, and maintaining office organization and a positive work environment. This role requires strong organizational skills, proficiency in MS Office Suite (Word, Excel, Outlook), excellent communication, and the ability to manage projects and support staff.
Provide administrative assistance to the Office Manager and other staff, managing correspondence, filing, data entry, and record keeping.
Help manage day-to-day office operations, including ordering and inventorying office supplies, ensuring equipment maintenance, and overseeing cleaning and security services.
Coordinate meetings, appointments, and company events, ensuring all necessary arrangements are made for staff and external visitors.
Handle incoming and outgoing communication, including phone calls, emails, and mail, and distribute relevant documents to staff.
Assist with human resources functions, such as onboarding new hires by setting up their workstations and maintaining employee files.
Support bookkeeping by paying invoices, managing office-related expenses, and assisting with petty cash management.
Strong skills in Microsoft Office applications, especially Word and Excel.
The ability to coordinate procedures, maintain organized records, and manage multiple tasks effectively.
Excellent verbal and written communication skills to interact with colleagues, vendors, and clients.
The ability to identify and implement improvements that increase efficiency and reduce costs.
