Overview

AROS Group is seeking a highly organized, polished, and proactive Office Assistant to oversee the smooth functioning of our Paris office. This individual will ensure the office operates efficiently while reflecting the creative, professional, and polished identity of AROS Group. Acting as both an operational backbone and a cultural ambassador, this role requires anticipating needs, maintaining a structured and aesthetically aligned environment, and fostering accountability across the team.

Core Mandate

Manage the day-to-day operations of the Paris office, support C-Suite executives, oversee administrative and sample logistics, coordinate events and vendors, and ensure the office environment reflects AROS Group’s high standards of professionalism and design.

Responsibilities

  • Maintain a tidy, polished, and professional office at all times.
  • Establish systems for labeling, organizing, and structuring office materials and supplies.
  • Conduct regular office checks to ensure cleanliness, order, and team compliance.
  • Manage vendor relationships, including cleaning services, and ensure regular deep cleaning.

Sample Management & Logistics

  • Track and manage all incoming and outgoing samples, ensuring proper distribution, storage, and shipping.
  • Connect samples to appropriate projects and teams, maintaining accountability.
  • Oversee shipping logistics and ensure timely, accurate delivery.

Administrative & Finance Support

  • Process and organize invoices, maintaining accurate records for the finance team.
  • Support project-to-sample tracking and reporting.
  • Provide administrative support to division leads and coordinate inter-team communication.

Executive Support

  • Anticipate and meet the needs of C-Suite executives, including scheduling meetings, arranging refreshments, and preparing materials.
  • Coordinate calls, meetings, and executive calendars with precision.
  • Greet visitors professionally and ensure meeting spaces are fully prepared.
  • Assist with onboarding and offboarding of team members.
  • Support staff with resources and guidance, or direct them to the right contact.
  • Lead by example: uphold office standards, encourage accountability, and ensure follow-through.
  • Promote a culture of order, professionalism, and pride in the office environment.
  • Organize and support local and global events, ensuring professional execution.
  • Liaise with vendors, suppliers, and external partners with clarity and polish.
  • Confidently represent AROS Group’s identity and values externally.

Qualifications & Skills

  • Fluent in English and French; additional languages are a plus.
  • Experience as an Executive Assistant, Office Assistant, or in operations (creative/brand environments preferred).
  • Strong design sensibility to ensure office décor aligns with brand values.
  • Highly polished, professional, and an ambassador for AROS Group.
  • Exceptional organizational, multitasking, and attention-to-detail skills.
  • Strong interpersonal and communication skills—poised and diplomatic.
  • Proactive problem-solving abilities and anticipation of executive and team needs.
  • Tech-savvy with office management platforms, trackers, and communication tools.
