Executive Assistant to the President – Prominent Real Estate Firm (On-site, 5 days per week)

Reports to: President

We are seeking a seasoned Executive Assistant to support our President and help drive the continued success of our organization.

About the Role

The Executive Assistant will act as the right hand to the President, managing a wide range of executive support tasks. This position requires a poised, mature, and highly organized professional who thrives in a fast-paced environment, exercises sound judgment, and has a track record of long-term, stable employment.

Responsibilities

  • Executive Support & Gatekeeping
  • Serve as the primary point of contact for the President; manage and prioritize a high volume of communications.
  • Screen calls, visitors, and correspondence with professionalism and discretion.
  • Anticipate the President’s needs and proactively address issues before they arise.
  • Calendar & Travel Management
  • Maintain complex and frequently changing calendars, ensuring optimal time management.
  • Coordinate heavy domestic and international travel, including flights, accommodations, ground transportation, and itinerary preparation.
  • Handle last-minute changes and ensure seamless logistics at all times.
  • Meeting Preparation & Follow-Up
  • Schedule and organize high-level meetings, conference calls, and events.
  • Prepare agendas, presentations, and briefing materials.
  • Record and track follow-up actions to ensure commitments are met.
  • Expense & Budget Management
  • Process, reconcile, and track executive expenses in a timely and accurate manner.
  • Support budget monitoring and vendor payments as needed.
  • Confidentiality & Professionalism
  • Handle sensitive information with the highest level of discretion.
  • Represent the President and the firm with professionalism in all interactions.

Qualifications

  • Minimum of 7+ years of executive assistant or senior administrative support experience, preferably in a real estate, financial services, or professional services environment.
  • Demonstrated stability in previous roles (long-tenured positions preferred).
  • Strong gatekeeping skills with the ability to diplomatically manage access to senior leadership.
  • Exceptional organizational and time-management skills with the ability to prioritize effectively.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools.
  • Experience coordinating complex domestic and international travel.
  • Excellent verbal and written communication skills.
  • High level of professionalism, discretion, and emotional intelligence.
