Office Administrator / HR Support – Law Firm Operations

Schedule: Full-Time, On-Site

Pay Range: $31.25–$38.46/hour (Non-Exempt)

Overview

A reputable civil litigation law firm is seeking a detail-oriented Office Administrator / HR Support professional to help manage daily operations and assist with HR functions. This role is ideal for someone who thrives in a fast-paced legal environment and enjoys supporting both administrative and human resources processes.

Key Responsibilities

  • Office Administration
  • Support vendor and building account management, including procurement and vendor coordination.
  • Monitor office inventory and manage supply orders.
  • Assist with accounts payable and expense tracking.
  • Help maintain and troubleshoot legal case management systems.
  • Generate reports and monitor case flow to ensure deadlines are met.
  • Manage firm-wide calendars, meetings, interviews, and client appointments.
  • Maintain data accuracy in case management and HR systems.
  • Enforce confidentiality and data governance practices.
  • HR Support
  • Assist with recruitment: job postings, resume screening, applicant tracking, and onboarding.
  • Support timekeeping, payroll, and benefits administration.
  • Maintain HR systems and ensure compliance with California employment laws.
  • Coordinate new hire orientation and documentation.
  • Help with training programs and internal communications.
  • Organize staff events and morale initiatives.
  • Qualifications
  • Minimum 2 years of college; BA/BS preferred.
  • At least 2 years of experience in a California-based law firm (civil litigation preferred).
  • Familiarity with legal case management and HR systems.
  • Proficiency in Microsoft Office and HRIS/applicant tracking tools.
  • Strong organizational and communication skills.
