Overview

School of Medicine, Stanford, California, United States. The Office of Academic Affairs (OAA) seeks a Faculty Affairs Manager (Academic Affairs Administrator 4) to serve as a program manager and provide expert guidance to faculty and leadership in the School. The role covers actions related to professoriate faculty in the University Tenure Line, University Medical Line, and Non-Tenure Line. Reporting to the Director of Academic Affairs, the incumbent will support the appointment, reappointment, promotion, and retention processes and related activities. Responsibilities

Monitor and enforce compliance with School and University policies for department chairs, division chiefs, faculty search committees, faculty candidates, and faculty affairs administrators. Critically evaluate and communicate recommendations to optimize initial faculty search initiations and subsequent search reports; waivers of search; offer letters; and referee, trainee and peer set lists. Critically evaluate and communicate recommendations to improve the quality of appointment, reappointment, and promotion long forms. Maintain clear and effective communication and coordination with fellow professoriate team members throughout the workday. Plan and prioritize file review in response to appointment end dates and departmental appointment and retention needs in compliance with deadlines. Manage School Appointments and Promotions Committees to ensure timely Dean’s Office review. Implement process improvements and provide hands-on training to department faculty affairs administrators, directors of faculty affairs, and associate directors of finance and administration; provide subject matter expertise to the population on faculty affairs matters. Liaise with OAA staff to facilitate workflow across clinician educator, teaching titles, visiting and short-term academic populations, and with OAA leadership objectives. Oversee documentation of annual counseling for assistant and associate professors and senior faculty annual meetings; participate in organizing faculty workshops on reappointments and promotions. Advise faculty and staff on exception requests policy and draft exception requests to the Provost’s Office as needed. Advise on policy for endowed professorship nominations, sabbaticals, and other leaves when necessary. Establish and maintain strong working relationships with Faculty Compensation, the Provost’s Office, Office of General Counsel, Office of Faculty Development, Diversity, and Engagement, Research Management Group, Office of the Dean of Research, and other academic units. Represent the School of Medicine on university-wide committees convened by the Provost’s Office or other central units. Responsibilities cont.

Consult and advise senior faculty and administrative leadership on program and policy development; provide input to university leadership on institutional, academic, and administrative policies and guidelines. Conduct strategic analysis of data, policy, and information relevant to faculty affairs; identify and resolve issues affecting faculty affairs beyond the immediate organization. Ensure compliance with school and university policies; manage university faculty conflict of interest requirements as needed. Serve on school or Provost’s Office committees to provide input on faculty affairs issues; represent the organization to other university departments. Contribute to management and direction of academic and administrative policy development for programs and operations; interpret and explain policy changes to chairs and managers. Oversee collection, management, analysis, and reporting of faculty data including diversity and affirmative action; assist in ensuring policy compliance; allocate resources as needed. Direct faculty and/or academic staff supervisors and managers in interpretation and implementation of faculty affairs policies, procedures, and programs when appropriate. May provide input to university leadership on institutional policies; may direct staff to achieve organizational goals. Other duties as assigned. Qualifications

Desired Qualifications:

Experience in academic affairs, preferably in a Medical School setting. Education & Experience (required):

Bachelor’s degree and seven years of experience in administrative processes, or an equivalent combination of education and related experience. Knowledge, Skills and Abilities (required)

Physical Requirements

Desk-based computer tasks; frequent sitting; occasional standing/walking and fine manipulation. Occasional twisting/bending/stooping/squatting; reaching above shoulders; grasping; using a telephone.
