Location: San Francisco, CA (On-site with travel to other properties) Salary: $250,000 – $350,000 + bonus and benefits A prominent UHNW family is seeking a highly organized, service-oriented Senior Estate Manager to oversee the operations, maintenance, and staffing of a multi-estate portfolio. This is a unique opportunity for a motivated professional to step into a leadership role supporting multiple world-class properties while working closely with a collaborative and hands-on team. While prior experience managing multiple residences is preferred, we are equally interested in candidates who demonstrate strong leadership potential, a proactive mindset, and a willingness to learn. Comprehensive training and mentorship will be provided for the right individual who is eager to grow in the role and commit long-term. The ideal candidate is deeply service-oriented and thrives in a team environment where no task is considered too big or too small. They will bring a “roll-up-your-sleeves” attitude to their work — whether that’s leading large-scale estate projects, assisting with on-the-ground logistics, or supporting the team with day-to-day household needs. Key Responsibilities
Property Oversight & Maintenance : Conduct regular property inspections and implement preventative maintenance protocols across multiple luxury residences. Serve as the primary liaison for property repairs, renovations, and new construction projects. Ensure all systems and infrastructure operate seamlessly, with minimal disruption to the principals. Operational Management : Direct daily operations across multiple properties, ranging from 12,000 to 30,000 sq. ft. Develop and maintain comprehensive manuals, SOPs, and estate documentation to standardize operations. Maintain detailed inventory and property records using platforms such as Collector Systems, Monday.com, Google Sheets, and Google Docs. Generate and interpret operational reports to support decision-making and performance tracking. Oversee smart home technologies, including Savant, Lutron, OVRC, and BACnet (BMS). Partner with technical vendors to troubleshoot, update, and integrate systems as needed. Willingness to learn and adapt to new technologies and tools is essential. Manage relationships and contracts with vendors, contractors, and specialty service providers. Oversee invoicing and billing workflows, ensuring accuracy and approval prior to payment via platforms like Yardi or BillPay.com. Assist with financial operations including budgeting, billing, and ongoing operational expenditures. Reconcile monthly staff credit card statements to maintain financial transparency and accountability. Staff & Scheduling : Collaborate with HR and the family office to oversee staff scheduling, payroll, and performance standards. Support staff development and uphold a high level of service consistency across all properties. Travel & Availability : Provide occasional travel support and maintain flexibility to travel to other properties as needed. Maintain 24/7 availability during active periods or when the principals are in residence. Qualifications
5+ years of experience in estate management, hospitality, or luxury property operations preferred. Formal training from programs such as Starkey International or equivalent butler/estate management institutions strongly preferred. Strong organizational, communication, and problem-solving skills. Tech-savvy with a willingness to learn and master new systems. Highly professional, discreet, and committed to maintaining confidentiality. A collaborative, team-oriented approach with a “no task too big or too small” mentality.
