Overview
Summary of Position and Responsibility: The Receptionist is responsible for providing excellent customer service at the front desk, managing phone calls, greeting visitors, and performing various administrative tasks. This role serves as the first point of contact for clients and visitors, and plays a key role in maintaining a professional and welcoming office environment. The Receptionist handles inquiries, schedules appointments, and ensures the smooth operation of the front office.
Essential Functions
- Greet and assist visitors: Welcome guests and clients upon arrival, provide information, and direct them to the appropriate personnel or meeting rooms.
- Manage phone calls: Answer and direct phone calls promptly and professionally. Take messages and relay information to relevant parties.
- Schedule appointments: Coordinate and schedule meetings, appointments, and conference room bookings. Manage calendars and send reminders as needed.
- Handle correspondence: Receive and distribute incoming mail and packages. Prepare and send outgoing mail and packages.
- Maintain office supplies: Monitor and manage inventory of office supplies and equipment. Replenish stock and place orders as needed.
- Perform administrative tasks: Assist with filing, data entry, and other clerical duties. Prepare documents and reports as requested.
- Ensure office security: Monitor and control access to the office, ensuring that only authorized individuals are allowed entry. Maintain visitor logs and security procedures.
- Support other departments: Provide administrative support to other departments as needed, including assisting with special projects and tasks.
Essential Knowledge, Skills, and Abilities (KSA)
- Knowledge
- Understanding of office procedures and administrative tasks.
- Familiarity with phone systems and office equipment.

- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite and basic office software.

Qualifications (Education, Certifications, and/or Training)
- Required Education: High school diploma or equivalent.
- Preferred Education: Associate’s degree in Business Administration or a related field.
- Required Experience: Minimum of 1-2 years of experience in a receptionist or administrative role.
- Preferred Experience: Experience in a similar industry or with additional administrative responsibilities.
- Certifications: Relevant certifications in office administration or customer service are preferred.

Physical Demands
This role involves extended periods of sitting at a desk or computer workstation, with regular use of keyboard and mouse for typing and data entry tasks. Occasional standing and walking may be required to greet visitors or handle office supplies.
