This position provides administrative support to the UIC Law Business Office by serving as a central resource for students, faculty, and staff. The role provides direct assistance with student account inquiries, coordinates with offices such as Financial Aid, Bursar, and Registrar, and ensures accurate and timely resolution of issues. In addition, the individual manages office operations, purchasing and travel processes, and confidential records. Duties & Responsibilities: Provide high-level administrative support to the Director of Business and Finance, ensuring efficient daily operations of the UIC Law Business Office. Serve as primary liaison for student account inquiries, coordinating with Financial Aid, Bursar, and Registrar to resolve billing and balance issues. Manage purchasing processes (i-Buy, Banner, phone, and online), acting as liaison with the Purchasing Manager and responding to vendor, faculty, staff, and student inquiries. Oversee office operations, including phones, email, mail, records, and correspondence, while safeguarding confidential information. Coordinate travel arrangements and expense reporting (T-Card, P-Card, Chrome River), ensuring compliance with University policies. Supervise business office financial transactions, reimbursements, vendor payments, deposits, and reconciliation activities. Provide guidance and training to student workers and staff on office procedures, policies, and compliance requirements. Manage U-Pass and i-card distribution, including recordkeeping, verification, and discrepancy resolution. Create, update, and maintain confidential records, forms, and office documents to ensure accuracy, compliance, and efficiency. Support special events, departmental projects, and notarial services for students, faculty, and staff. Perform other related duties and participate in special projects as assigned. Minimum Qualifications Required: 1. High school graduation or equivalent 2. Any one or any combination totaling five (5) years (60 months) from the following categories: A. college course work in business, finance, accounting or a related field: 60 semester hours or an Associate's degree equals one (1) year 90 semester hours equals two (2) years 120 semester hours or a Bachelor's degree equals three (3) years Master's degree or higher equals four (4) years B. progressively more responsible general or specialized office experience which included aspects of supervising staff or a job function, organizing, and performing duties that lead to knowledge of generally accepted office principles Preferred Qualifications: Strong organization, time management, and scheduling skills, maintaining confidential information with care, attention to detail, meeting and calendar management - demonstrated experience managing a heavily impacted academic and events schedule and calendar. Client relationships-ability to work with all law school and external constituencies to effectively promote and support the work of the associate deans and faculty. To Apply:
