Job Summary

The purpose of this position is to provide office support to Records and Registration Processes including processing incoming admission applications, recording high school transcripts, and processing outgoing official transcript requests. This position also provides office support to special programs that require additional forms and record keeping such as traditional, concurrent enrollment, and Career Pathways Academy programs and students. All employees of Saint Paul College are responsible for promoting a culture that supports diversity and inclusion in all forms as well as providing excellent customer service continuously to all internal and external contacts.

Job Duties:

Process all admissions, records and registration forms Process release of student transcripts Provide support to PSEO, Concurrent Enrollment, and other Partnership programs Manage and process special admission programs with second applications and apprenticeship programs Perform general records functions Perform other duties as assigned to ensure the smooth functioning of the department and maintain the reputation of the organization as a viable business partner Minimum Qualifications:

Experience working with complex database and/or customer relations management information systems. Ability to develop, modify, evaluate/improve, interpret, and explain administrative and department policies, practices and procedures. Knowledge of English (reading, writing and speaking) sufficient to perform the job duties described above in order to effectively communicate with both internal and external customers both on the phone and in person, explain policy and procedure. Ability to ensure quality standards, deadlines and proper procedures are followed. Ability to effectively communicate complex technical ideas and procedures to non-technical personnel. Demonstrated cultural competency and experience working with diverse populations, including nontraditional underrepresented students/customers. Preferred Qualifications:

Associate's or Bachelor's degree. Two (2) years of experience in higher education or in a related field. Practical experience with Minnesota State's Integrated Student Records System (ISRS). Ability to interact with students, staff, faculty, co-workers, and the public in a professional manner. Ability to maintain the confidentiality of private information according to federal regulations (FERPA, Data Privacy Act, Minnesota State System and Saint Paul College policies and procedures). Work ethic and human relations skills sufficient to handle frequent interruptions. Practical experience with the various software used by the college (Perceptive Content/ImageNow, National Student Clearinghouse, Parchment, etc.).
