Description:
The Records Specialist is crucial in transitioning our company from physical to electronic records management. This role focuses on digitizing and organizing employee files to enhance accessibility and security.
Role Accountabilities: Review and organize employee files according to company policies for digitization. Use company scanning devices to digitize and store files in our electronic management system. Manually add any records that are not automatically recognized by the system. Conduct regular audits to ensure records are maintained, secure, and correctly indexed. Provide analytics and updates for project tracking. Ensure accuracy and completeness of digitized records. Maintain data integrity, confidentiality, and sensitivity. Collaborate with HR and legal teams to ensure compliance with policies and legal requirements. Support and train team members on best practices for back scanning and cataloging. Qualifications & Experience:
High school diploma or equivalent; associate's or bachelor's degree preferred. Minimum of 2 years of experience in records management or a related field. Experience managing confidential and sensitive information. Strong understanding of records retention policies and legal requirements. Proficiency in using records management software and scanning equipment. Excellent organizational and time management skills. Strong attention to detail and accuracy. Ability to work independently and collaboratively. Excellent communication and interpersonal skills. Benefits (employee contribution):
