Position Summary
The Michigan AFL-CIO Workforce Development Institute (WDI) is seeking a highly organized and adaptable HR Special Projects Assistant to support key HR functions, including digitization of paper files, automation of HR systems, data entry, recruitment support, and general HR operations.
This position is based in Lansing and will work remotely with WDI offices across Detroit, Saginaw, Muskegon, and Kalamazoo. It is a project-driven, technology-focused role requiring strong HR knowledge, experience with HRIS and applicant tracking systems, and a high level of independence. A major focus will be transitioning HR paper records to SharePoint and supporting the rollout and use of JazzHR for recruitment processes.
Key Responsibilities HR File Digitization & Systems Automation
Lead the scanning and digital conversion of HR personnel files into SharePoint Maintain electronic file accuracy, naming standards, and secure access protocols Audit and organize existing digital records to ensure compliance and completeness HRIS & ATS Support
Enter and maintain accurate data in JazzHR, ADP, and SharePoint Assist with configuring and maintaining job descriptions and workflows in JazzHR Support reporting and organizational alignment using HRIS data Recruitment & Onboarding
Format and input job descriptions into JazzHR Assist with job postings, candidate tracking, interview scheduling, and communication Help with onboarding documentation and compliance tracking HR Projects & Events
Assist with HR compliance projects, job description audits, and org chart updates Support the planning and logistics of employee engagement and wellness events Help coordinate vendor communication and participation tracking for events General HR Administration
Provide backup support during staff absences or peak HR activity Handle sensitive employee data with discretion and confidentiality Contribute to special HR initiatives and internal reporting Preferred Qualifications
Bachelor’s degree in Human Resources or related field PHR
certification strongly preferred 3–5 years of professional HR experience, ideally in a nonprofit or mission-driven setting Demonstrated proficiency with HRIS/ATS platforms (e.g., ADP, JazzHR, SharePoint) Advanced computer and technology skills, including file management and reporting Strong project management, organizational, and multitasking skills Ability to work independently and handle changing priorities in a fast-paced environment Commitment to confidentiality, equity, and a supportive team environment Work Schedule & Compensation
Part-time: 30 hours/week Schedule: Hybrid – based in Lansing, with remote support for multiple Michigan offices Duration: Temporary, indefinite Compensation:$32–$36/hour, based on qualifications and experience (no benefits)
