Director of Admissions Operations and Systems

– LIM College This role is the lead for the Technolutions Slate CRM system (Slate Captain), ensuring seamless operations and strategic alignment across the admissions process. The Director works with the Vice President to assess application trends, optimize workflows, and make data-driven decisions to improve the applicant experience. This position manages the Operations team to ensure timely and accurate processing of applications, deployment of communications, and data integrity protocols to drive enrollment outcomes. Base pay range : $90,000.00/yr - $100,000.00/yr Responsibilities

Serve as the institution’s chief architect of Slate, including system administration, vision, and user support. Maximize CRM efficiency for the lifecycle of constituent records while maintaining data integrity and security. Develop and enhance technological platforms to streamline business procedures and improve data security, accuracy, accessibility, and confidentiality. Create and optimize processes to improve staff efficiency and system functionality. Develop, modify, maintain, and support custom reports to meet ad-hoc and ongoing needs. Perform regular maintenance and improvements to enhance system performance and data integrity. Coordinate data exchanges between the CRM and other systems with stakeholders. Provide ongoing training, documentation, and updates to CRM users to ensure smooth operations. Strategic Leadership & Oversight

Advise the Vice President of Enrollment Services on operational strategy, enrollment trends, and data-driven decisions. Lead long-term strategy for admissions operations to align with enrollment and retention goals. Oversee high-impact admissions initiatives integrating technology and workflow improvements. Collaborate with Marketing, Financial Aid, IT, Academic Affairs, Student Affairs, and Institutional Research to optimize processes. Ensure policies comply with federal, state, and institutional regulations, reducing risk and increasing efficiency. Admissions Technology & Data Integrity

Oversee Slate CRM to support undergraduate, graduate, online, pre-college, and transfer programs. Write and maintain data-reporting tools, ensure data integrity, and support data accuracy in SIS. Lead system integrations with testing and efficiency improvements. Establish data governance policies for admissions data security and accuracy. Serve as liaison with IT, vendors, and consultants to drive technology improvements. Create admissions reporting dashboards with real-time insights for enrollment decisions. Operational Oversight & Process Optimization

Oversee admissions operations processes, identify opportunities to automate and streamline workflows. Develop and execute an admissions operations roadmap with continuous improvements. Define and monitor KPIs to track operational success and identify enhancements. Align admissions operations with recruitment strategy, financial aid, and onboarding to improve outcomes. Utilize Slate CRM and tools (e.g., Ruffalo Noel Levitz) to analyze recruitment trends. Foster cross-functional collaboration with IT, Institutional Research, and Marketing. Team Leadership & Professional Development

Lead and mentor a team including one associate director and two coordinators. Provide coaching and professional growth opportunities for operations staff. Establish a leadership pipeline and ensure knowledge transfer within the team. Develop training programs for Slate CRM, data analytics, and best practices in admissions operations. Promote a data-informed culture for evidence-based decisions. Compliance, Risk Management, & Best Practices

Act as chief compliance officer for admissions operations, ensuring adherence to data policies and processing standards. Identify and mitigate operational risks with policies to ensure efficiency, security, and compliance. Stay updated on industry trends and best practices for continuous improvement. Develop crisis management and contingency plans for outages, surges, or regulatory changes. Qualifications

Bachelor’s degree required (Master’s preferred) in Business Administration, Higher Education Administration, Data Analytics, or related field. 6+ years in admissions operations, enrollment management, or higher education technology. Expert-level knowledge of Slate CRM (including integrations, configuration, automation, and data governance). Strong experience in SQL, Java, or other programming languages for reporting and automation. Knowledge of higher education compliance related to admissions, student records, and data security. Proven success in leading high-performing teams and driving operational transformation. Exceptional strategic thinking, problem-solving, and stakeholder management skills. Work Perks
