Overview
Position: Grants Manager (Program Operation Specialist, ES 7). The Grants Manager will be a key member of the Institute for Protein Design (IPD)’s two-person research administrative team, reporting to the Senior Grants and Contracts Manager (ES9). The role primarily manages a portfolio of industry contracts and all aspects of proposal development, submission, setup, and post-award management for a large number of IPD postdoctoral fellows (over ~65). IPD handles a high volume of complex grant proposals and projects across the lifecycle, with revenue exceeding $50M and a need for experienced grant managers to handle volume and complexity. The team collaborates with a broader network of research project managers to meet sponsor requirements and international collaborations, often outside regular hours due to project demands. The IPD manages complex federal grants (e.g., DARPA, ARPA, DOD) in addition to NIH grants and fellowships, large Foundation grants, and growing industry partnerships. The Grants team works closely with internal stakeholders to support IPD research programs and to respond to sponsor requirements in a timely and compliant manner. Duties And Responsibilities
Located at the University of Washington in Seattle, IPD’s Grant Management Team provides overall management of complex industry contracts and all aspects of pre- and post-award activities for IPD contracts and Postdoctoral Fellowships. The role will have an independent portfolio of primarily industry contracts and will be accountable for results, with decision-making supported by the Senior Grants Manager and Assistant Director as needed. The position requires a flexible, collaborative, and detail-oriented approach to respond to evolving sponsor requirements and deadlines, including international collaborations. Pre-award grants & industry contract management (40%) Lead IPD contract proposal submission processes. Collaborate with scientific and project management teams to develop proposals. Prepare all relevant business documentation. Oversee research agreement development: review sponsor requirements with faculty/PI, coordinate with agencies, UW Office of Sponsored Programs, HHMI, CoMotion, and collaborators to ensure high-quality proposals and compliance. Ensure timely submission to OSP and adherence to deadlines and regulations. Resolve issues prior to submission and coordinate with sponsors as needed. Own the proposal development and submission process with responsibility for results. Relationship management: act as the main resource for IPD researchers on grants in their portfolio and educate on grant-related policies and processes. Serve as the point of contact for internal and external stakeholders, managing relationships and resolving issues. Ensure UW policies are followed: maintain knowledge of federal, state, and UW policies (e.g., OSP GIMs, NIH policies) and communicate requirements to PIs and stakeholders. Coordinate with UW OSP and other parties to acquire waivers, letters of support, or authorizations as needed for contracts. Develop contract documents such as budgets and justifications in accordance with FOA requirements and industry/federal rules. Lead and manage coordination and negotiations with industry partners, OSP, HHMI, and CoMotion. Review proposals for IRB/IACUC/SFI issues and work with PIs to resolve. Create workflows and tracking systems for contract and industry agreements, and for postdoctoral fellowships; troubleshoot proactively with PIs and stakeholders. Identify funding opportunities and maintain funding opportunity databases and reporting Deliverables; advise faculty on opportunities aligned with research interests. Mentor trainees and postdoctoral fellows toward obtaining fellowships; serve as an expert resource on UW policies, federal/state regulations, and industry standards. Post-award grants & contract management (40%) Initiate and complete award setup and modifications per UW OSP, GCA, and sponsor regulations. Oversee project management of the awarded portfolio, including fiscal compliance, reporting, and milestones. Lead timely progress reports and complex deliverables in collaboration with the research management team; participate in sponsor meetings as required; coordinate follow-up with PIs and participants. Initiate, negotiate, and submit research-related agreements (MTAs, CRAs, CDAs, etc.) as needed. Manage IACUC, CoMotion, and other approvals; ensure compliance with animal research regulations and IP considerations. Serve as the main administrative point of contact for IPD’s sponsored programs and contracting; monitor compliance with UW and sponsor policies. Lead milestone tracking and reporting to ensure sponsor and IPD terms are met; ensure adherence to fiscal regulations and spending policies. Oversee grant/project closeout processes, including final reports and spending reconciliation; manage no-cost extensions and filing related invention documentation when applicable. Other programmatic support (10%) Provide lead support on other funding sources; back up administration for Federal and Foundation applications. Provide monthly status and financial reports to IPD Director and Leadership on in-flight and funded contracts. Develop fluency in IPD grant/project management to serve as a backup for the 2nd grant manager; organize contracts and related correspondence. Respond to inquiries from Translational Researchers on contract terms and deliverables; facilitate regular program communication with stakeholders; coordinate with regulatory offices (OSP, GCA, CoMotion, HHMI) as needed. Provide guidance on funding agency regulations and UW policies to PIs and project personnel; participate in trainings and professional networks. Other duties as assigned. Minimum Requirements
Bachelor's Degree in Business Administration or equivalent + 2 years of related experience . Equivalent education/experience may substitute for minimum qualifications except where legal requirements apply. Additional Requirements
