Rocky Mountain Cancer Centers, Colorado's largest and most comprehensive provider of cancer care has an exciting opportunity for an Administrative Assistant of Medical Services in our SE Division. This position is scheduled to work in our Littleton, Englewood (Swedish Medical Center Campus), Aurora and Centennial.

Salary range: $22.50 - $26.00 per hour. Responsibilities

Under direct supervision, provides administrative and staff support services for the department. Handles administrative tasks for projects, programs or processes specific to the operating unit served. Keeps records, statistics and files according to standardized procedures and requirements. May be the contact person for information on administrative processes. This is not a secretarial position. Supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards.

  • Provides administrative support for special projects to include research, data compilation, and preparation of standard reports.
  • Answers telephones, takes accurate messages, screens and directs calls professionally. Composes, prepares, and proofreads correspondence, office memoranda, and reports; maintains confidentiality as required.
  • Handles all administrative details to support programs or processes under the direction of the physician or manager, including information requests, routine letters, inquiries, and follow-ups on problems or changes.
  • Prepares materials needed by the Department relative to processes or programs. Designs, implements, and updates forms for use within the office by applying software knowledge.
  • Maintains organized files and schedules; updates information, purges files regularly, and creates new filing systems as needed; maintains program calendars and schedules meetings and appointments; may arrange meetings or coordinate changes.
  • May use and maintain databases and online records; maintains accuracy of hardcopy and online records; processes invoices with codes for payment or tracking; completes approval documentation and obtains signatures; forwards records to accounting and files appropriately.
  • Maintains physicians’ medical licensure, professional certifications, certification renewals, and curriculum vitae; handles health plan contracts and hospital appointment applications.
  • Coordinates physician monthly on-call schedule and on-call accruals; completes and distributes weekly schedules.
  • Handles requests for patient charts and copies pertinent information per guidelines; conducts medical transcription including patient consultations and notes as dictated by physicians; types reports and QA records as necessary.
  • Completes patient disability forms when necessary.
  • Coordinates and prepares for meetings, including scheduling, agenda creation, and distribution of materials.

Qualifications

MINIMUM QUALIFICATIONS: High school diploma or equivalent required. Associate’s degree in business, office administration, or related field preferred. Minimum of three years of office administration experience. Proficiency in Microsoft PowerPoint and other Microsoft Office applications.

Physical Demands: Requires prolonged sitting, some bending, stooping and stretching; eye-hand coordination and manual dexterity to operate standard office equipment; normal hearing and vision (correctable to 20/20); occasional lifting up to 30 pounds.

Work Environment: Office environment with frequent contact with staff; exposure to conditions common to a clinic environment; reasonable accommodations available.
