Position Summary:
The Assistant Property Manager (APM) is based in Fort Lauderdale and supports daily operations at Las Olas Centre. The role emphasizes property accounting, lease administration, financial reporting, and supporting in property operations, all while working closely with the Property Manager and Director of Operations to support ownership objectives and operational execution.
Responsibilities:
Assist with the preparation of annual operating and capital budgets, including gathering supporting documentation, formatting, and data entry.
Support monthly accruals and prepare financial project trackers and job cost forms for the asset.
Assist with CAM and real estate tax (RET) reconciliations, including pulling invoices, assembling backup, and preparing tenant packages.
Process operating and capital invoices in a timely manner; ensure correct coding, managing and tracking expenses, and proper internal approvals using Avid or similar systems.
Monitor accounts receivable for both properties; support collection efforts and coordinate with accounting on outstanding balances.
Track and input tenant chargebacks, utilities, after-hours HVAC, and overtime services.
Assist in TI reimbursement and allowance tracking, including gathering lien waivers, invoices, and approvals.
Maintain current rent rolls and tenant billing schedules with accurate coding and lease updates.
Support monthly reporting packages to accounting, including financial narratives, rent roll updates, and variance notes.
Assist in reviewing parking revenue and parking management reports.
Lease Administration and Tenant Relations:
Assist in the lease administration process, including critical date tracking, rent commencement, and scheduled rent escalations.
Prepare and distribute billing memos, tenant ledgers, and monthly rent statements.
Support in lease abstract reviews with a focus on financial obligations including security deposits, tax pass-throughs, and expense caps.
Track vendor and contract spend against budget for both properties; support variance analysis and flag overages.
Maintain contract logs and assist with vendor insurance documentation.
Assist in preparing bid comparisons for property services and capital projects; ensure alignment with approved budgets.
Help maintain preventive maintenance cost schedules and coordinate with engineering for service delivery reporting.
Assist with select vendor management and service contract management.
Administrative:
Keep electronic and physical files organized and audit-ready, particularly those tied to financial operations.
Use MRI, Avid, Microsoft Excel, and internal tools to support data integrity across budgeting, billing, and forecasting functions.
Respond to accounting or lease-related inquiries from tenants or vendors in a timely and professional manner.
Qualifications:
Bachelor’s Degree (preferred in Accounting, Finance, Business, or related field).
Minimum of four (4) years of experience in commercial property management, with emphasis on financial/accounting operations.
Strong proficiency in Microsoft Office.
Experience in property management platforms preferred (MRI, Avid, Angus, or similar).
