Executive Support Specialist & Assistant to the CEO – Road to Hire is a hybrid role combining executive administrative support with strategic project assistance. The position serves as the primary administrative partner to the CEO and as the designated project assistant for CEO-driven initiatives that span multiple departments and teams. This role requires exceptional communication, the highest level of discretion and confidentiality, and the ability to manage detailed administrative tasks while supporting strategic projects in a fast-paced environment. Key Responsibilities

Strategic Project Leadership & CEO Initiative Management

Provide project assistant support for designated CEO initiatives, coordinating cross-departmental strategic projects (e.g., events, retreats, strategic planning sessions) in partnership with the Office of Strategy, Talent and Operations/COO Assist with project execution from conception through completion, coordinating with team members and external stakeholders as assigned by the CEO Manage complex project timelines and deliverables across multiple teams, aligned with organizational priorities and CEO directives Coordinate cross-functional collaboration, stakeholder communications, and removal of barriers to project success Provide research, analysis, and recommendations to inform CEO decision-making on organizational initiatives Monitor progress, escalate issues as needed, and ensure timely completion of CEO-assigned initiatives Coordinate event planning and execution for company-wide events, leadership retreats, and strategic planning sessions in collaboration with the STO/COO

Strategic Executive Assistance

Serve as CEO’s primary administrative partner, maintaining executive office operations and daily workflow Coordinate sophisticated calendar management, travel arrangements, and meeting preparation for the CEO Prepare materials for board meetings, leadership sessions, and strategic planning events with the CEO, COO, and leadership team Handle confidential correspondence with absolute discretion Process executive-level financial tasks including expense reports, invoices, and budget-related responsibilities Maintain organized filing, document management, and information protocols with strict confidentiality Act as primary liaison between CEO and internal/external stakeholders for scheduling Proactively manage executive communications, including email screening, drafting responses, and follow-up Screen and prioritize stakeholder interactions to optimize the CEO’s time Facilitate organizational communication flow between the CEO and departments as needed

Operational Support & Coordination

Coordinate with IT, facilities, and vendors to ensure seamless office operations Manage office resources, supplies, equipment, and vendor relationships Maintain organizational systems that support administrative excellence and project management effectiveness

Qualifications

Required Education & Experience

Bachelor’s degree preferred or equivalent combination of education and experience 3+ years of executive-level administrative support experience with progression of responsibilities Experience supporting C-suite executives or senior leadership with confidential information Project coordination or management experience with cross-functional initiatives Strong collaboration and organizational skills across multiple departments Excellent professionalism and communication skills appropriate for C-level interactions Technical Skills

Advanced proficiency in Microsoft Outlook and Microsoft Office Suite (Word, Excel, PowerPoint) Experience with Canva for presentations Open to AI tools and emerging technologies Experience with calendar management systems and travel booking Familiarity with project management tools and document sharing Strong database management and research capabilities Core Competencies

Experience in similar industry or organizational change management Project management certification or formal training Experience with board governance and meeting coordination Experience supporting senior executives/C-Suite Experience serving diverse populations Background in organizational transformation or strategic planning Compensation

Compensation Range: $60,000 - $69,000 Note: actual compensation based on qualifications and experience Benefits

Chief Executive Officer Location Requirements:

This position requires residence in Charlotte, NC with in-office presence Tuesday–Thursday. Remote work is available Monday and Friday unless requested by the CEO. Occasional weekends and evenings may be required to support the CEO or R2H events/initiatives. Equal Opportunity
