What you’ll do
Manage scheduling and calendars for the Head of Operations and Operations leadership team, including coordinating meetings across global time zones.
Prepare and edit correspondence, reports, and presentations with a high level of accuracy and attention to detail.
Organize and track departmental priorities, deadlines, and deliverables to ensure timely completion.
Arrange travel and logistics for team members, including booking flights and accommodations and managing itineraries.
Handle expense reporting and invoice processing in compliance with firm policies and procedures.
Maintain documentation and records, including team workflows, processes, policy documents, and key operational files.
Assist with onboarding of new team members, including coordinating training and access to systems.
Help plan team initiatives and events fostering collaboration and engagement.
What’s Required
2+ years of experience in administrative or operational supporting financial services or a fast paced corporate environment
Exceptional organizational skills and ability to manage multiple priorities simultaneously
Strong written and verbal communication skills with the ability to liaise effectively across levels and functions
High attention to detail and commitment to accuracy
Proactive and resourceful work ethic, with the ability to act independently
Proficient in Microsoft Office Suite and comfortable learning new systems
Discretion in handling confidential and sensitive information
Commitment to the highest ethical standards
