Overview
UKG System Analyst The UKG System Analyst is responsible for the effective operation of the company’s Human Resources Management software UKG, including employee data, security/system administration, compliance reporting, time & labor management, payroll, benefits administration, recruiting, onboarding and performance management. This individual is responsible for the administration, detailed analysis, support and maintenance of our core HRIS and supporting applications. The UKG System Analyst oversees the UKG system and any HR implementation(s) and projects, leads and contributes to process enhancements while working closely with all of HR to initiate, execute, and finalize projects according to deadlines. This role also supports the company’s initiative to develop a culture of positive team member relations and engagement.
Responsibilities
Set up and manage security roles and access permissions.
Provide system training to HR users on functionalities and new features.
Develop and maintain work/process flows, procedures, guidelines and documentation.
Develop and maintain a change control/management process and documentation for UKG.
Provide technical support for UKG including, but not limited to, researching and resolving system needs, issues and unexpected results or process flaws. Escalate issues as needed with vendor to attain resolution of issue.
Support UKG upgrades, patches, testing, and other technical projects as assigned.
Support development and maintenance of system setup, tables, business rules, and workflows, including year-end system updates.
Troubleshoot and resolve issues related to system functionality or transactional work. Coordinate resolution with appropriate parties.
Responsible for auditing and maintaining data integrity.
Fulfill ad hoc and recurring data and reporting requests from internal management and HR team utilizing standard reports and custom reports through UKG Business Intelligence (IBM Cognos Analytics) to include daily employee changes, turnover, quarterly payroll audits, performance reports and other HR reports as assigned. Updates employee data in UKG as needed.
Support all HR compliance reporting to include Year-End payroll, W-2’s, annual 5500’s, OSHA 300 reporting, Workers Compensation and HR audits.
Perform User Acceptance Testing (UAT) as necessary.
Notify affected users of technical or known issues in a timely manner.
Recommend system design changes and upgrades based on product availability, efficiency of current system and user needs.
Participate in projects that streamline current HR processes and continually identify opportunities for increased efficiency and effectiveness. Communicate any changes to impacted areas.
Participate in HR systems-related projects, as needed.
Perform other duties as assigned.
Knowledge, Skills, and Abilities
Must have strong organizational skills and attention to detail.
Must have strong administrative skills, with the ability to follow up and work on multiple projects simultaneously.
Must have demonstrated ability to work with people at all levels of the organization required; tactful, mature, flexible, caring.
Must have experience with HRIS systems and high comfort with the effective use of technology.
Process improvement mindset required.
Must have the ability to make recommendations to effectively resolve problems or issues, by using judgment that is consistent with human resources standards, practices, policies, procedures, regulations, or government law.
Must be able to maintain confidentiality.
Problem-solving skills including root cause analysis and ‘out of the box’ thinking required.
Must have knowledge of HR processes, including employee life cycle, and compliance matters.
Must have ability to translate functional business requirements into technical specifications.
Must be process focused with experience creating and maintaining process documentation for end-users.
Must have a high sense of urgency when completing assigned projects.
Must have exceptional project management skills with the ability to meet tight deadlines.
Experience & Education Experience as an HRIS Analyst handling all aspects of system delivery and support of integrated HR technology is required. UKG/UltiPro experience required to include all modules, system configuration, security, business rules, and workflows. Must have experience with SFTP transfer files and API's. Experience creating and editing reports in UKG Business Intelligence is required, including Event Studio. WFM timekeeping module experience helpful. Bachelor’s degree or equivalent experience in Human Resources, Information technology, Business or Organizational Development preferred. PHR/SPHR or SHRM-CP Certification preferred but not required.
Additional Requirements
FLSA Status: Salaried, Exempt
Organizational Relationships: Reports directly to the Senior Director of Human Resources. Works with team members including the VP of HR, President and Executive Vice President, corporate support team, outside vendors and service providers.
Supervisory Responsibilities: None
Hours of Work: 8:00am/8:30am to 5:00pm/5:30pm Monday through Friday. Schedule may vary. Extended hours may be required during peak periods to meet business needs. Hybrid work position with in-office scheduling for support, career growth, and team building with remote work options on alternating Fridays plus tenure-based floating remote days.
Experience & Education (continued) Language skills: Ability to read, write and verbally communicate in English.
Pre-Employment Drug testing and background screening required. Must complete online pre-employment assessment.
