We are seeking a motivated and detail-oriented Part Time Administrative Assistant to join our growing team. This role is essential in supporting daily office operations and ensuring our staff, clients, and vendors receive exceptional service. The successful candidate will be organized, proactive, bilingual (Spanish/English), and comfortable managing a variety of administrative tasks. Key Responsibilities
Greet and welcome visitors in a professional and friendly manner Answer and direct phone calls to appropriate individuals Provide general administrative and clerical support (filing, photocopying, data entry) Process incoming/outgoing mail, packages, and deliveries Manage supply orders for the office and client accounts, ensuring accurate and timely fulfillment Maintain employee records with strict attention to confidentiality Process E-Verify for new hires in compliance with federal regulations Assist with order entry and basic filing organization Provide support across multiple departments including operations, sales, HR, and finance Coordinate and track project tasks as assigned Organize ClockShark to support time tracking and be ready for our payroll Preferred Qualifications
High school diploma or GED required; Associate’s degree or administrative training preferred 1–5 years of experience in an administrative role Bilingual in Spanish and English is required Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Experience with Xero, project management software, or document management systems is a plus Familiarity with standard office equipment (printers, copiers, fax machines) Excellent verbal and written communication skills Strong attention to detail and accuracy in data entry and proofreading Ability to handle confidential information with discretion Excellent organizational and time-management skills; able to manage multiple priorities Self-starter with strong problem-solving skills and the ability to work independently Benefits & Perks
