Senior Administrative Analyst (Facility Management Administrator)

Overview The successful candidate will be responsible for the administration of maintenance for facility assets, including buildings, residences, grounds, and equipment. The role includes administering facility management service and supplier contracts, planning, scheduling, and directing contractors and maintenance personnel performing facility construction, operations, and maintenance activities; performing contract management duties including quality control inspections to ensure work meets contract specifications and Metropolitan standards; approving contractors' invoices; maintaining schedules; coordinating contractors and staff trades; and keeping management informed on all elements of each repair or project. The candidate will support high-level events hosted at the headquarters building and work closely with internal and external work groups. Periodic assessments of facility operations will be conducted with recommendations to improve cost efficiency and effectiveness.
Schedule 7:00 am - 4:45 pm, Monday through Friday with alternating Fridays off.
Responsibilities
Administer maintenance for facility assets including buildings, residences, grounds, and equipment.
Administer facility management service and supplier contracts; plan, schedule, and direct contractors and maintenance personnel.
Perform contract management duties: quality control inspections, ensure work aligns with contract specifications and Metropolitan standards.
Approve contractors’ invoices and maintain project schedules; coordinate contractors and trades; inform management on all elements of each repair or project.
Support high-level events at the headquarters building and collaborate with internal and external work groups.
Conduct periodic assessments of facility operations and make cost-efficiency recommendations.
Employment Standards – Minimum Qualifications Education and Experience:
Bachelor’s degree from an accredited college or university in a related field and six years of relevant experience; OR Master’s degree in a related field and four years of relevant experience; OR Two years in an MWD Analyst classification. A related field includes management, business, engineering, facilities management, or related areas.
Relevant Experience:
At least 6 years of experience with a Bachelor’s degree or 4 years with a Master’s degree in at least two of the following areas within Facility Management operations and services: (1) plant operations, janitorial, food services, building engineering or maintenance trades, space planning/move management, and customer service in a commercial office environment; (2) knowledge of building codes, construction, skilled trades, OSHA, and fire/life/safety practices; and/or (3) data analysis, reporting, and presenting to senior management. Also required is a minimum of 4 years in a Contract Administration/Management role in building/facility maintenance/management, including contract compliance, quality control, specification development, proposal evaluation, contract negotiation, and invoice processing.
Certifications, Licenses, and Registrations:
Valid California Class C Driver’s License (or equivalent) at time of application, allowing you to drive during employment.
