Chapman and Cutler LLP is seeking a motivated Human Resources Project Coordinator to join the Human Resources Department in the Chicago office. The Human Resources Project Coordinator provides strategic coordination and project management related administration of firmwide tasks and initiatives within the HR cabinet of functional responsibilities (Onboarding, Performance Management, Compensation, HRIS, Benefits and Wellness, Engagement and Retention, Training, Compliance and Risk Management) while supporting day-to-day operations in addition to seasonal and annual HR and Benefits and Wellness related projects and initiatives.

Responsibilities The day-to-day responsibilities of the Human Resources Project Coordinator will include:

Human Resources Systems

HRIS

Coordinates internal/external project teams, stakeholders, working subgroups, vendors, and tasks aligned with the HRIS sourcing and selection initiative

Provides support and assists with pre- and post-implementation roll-out tasks and workflow and module set-ups (Human Resources, Payroll, Benefits, Time and Attendance, Professional Development and Training, Performance Management and Total Rewards) within the employee life cycle

Performance Evaluation Software - viDesktop

Manages system configuration (coding, branching evaluation questions, linking manager/employee solicitations, and updating end user access)

Responds to end user inquiries and requests

Proactively mitigates potential data integrity issues or process workflow deviations through report development and auditing

Handles system updates, testing, training, maintenance, documentation, and communication

Annual Performance Evaluation Process

Designs and distributes evaluation templates, updates and circulates timelines and historical compensation data and metrics

Works with Chiefs, Directors, Managers and Supervisors to determine training needs for staff

Compiles data and analyzes past and current year goals and training requirements

Coordinates and tracks training programs and utilization to support employee engagement and development

Assists with benchmarking and salary grading of staff positions

Human Resources Business Continuity

Assists in evolving and digitizing HR and Benefits processes and forms, drives and manages HR file conversion projects - converting legacy forms and information to electronic shareable data housed with appropriate security permissions

Streamlines and digitizes onboarding materials and personnel status change workflows and forms

Updates HR Intranet Site (THEO page) - communications and updates of HR processes and programs, benefits and wellness resources and information, policies and related updates, vendor information and HR templates

Maintains and updates HR DMS files

Assists in the preparation and coordination of COVID-19 pandemic related policies and controls including maintenance of the firm's mobile attestation app and compliance

Assists with managing return-to-work initiatives, tasks and communications; coordinates identified strategy and execution of policies and plans related to office use and safety procedures (including accommodations and access)

Compliance

Ensures firmwide compliance in accordance with federal, state, and local employment requirements, e.g., FLSA, Title VII, Form I-9 and e-Verify, and affirmative action programs

Coordinates information gathering, submission and completion of internal and external data requests and surveys/audits

In addition, the Human Resources Project Coordinator aids in developing and maintaining HR departmental best practices and assists with managing revisions and updates to handbooks/manuals and orientation materials while performing other duties as assigned.

Minimum Qualifications Candidates must have a Bachelor's Degree (preferred) or an Associate's Degree. The ideal candidate will have at least three (3) years of prior experience in HR, preferably in a professional environment; preference given to those with prior law firm experience.

Proficiency working with MS Word, Excel, Outlook and PowerPoint is required

Excellent communication skills required

Superior organizational and proofreading skills; detail oriented

Strong analytical skills, able to draw conclusions from data, assess implications and make recommendations

Works well under pressure and has excellent problem-solving skills

Committed to client service; professional demeanor and discretion required

Must have the ability to prioritize work and meet deadlines
