Executive Assistant (Temporary Support)
The executive assistant is a part of the College of Connected Computing (CCC) Dean’s office. This in-person full-time temporary position provides comprehensive, high-level support, including confidential matters, for the dean of the CCC. The person in this role will be responsible for scheduling meetings for the dean and coordinating travel on behalf of the dean. This position works closely with, and reports to, the Chief of Staff. Work Unit Description The College of Connected Computing (CCC) is Vanderbilt’s groundbreaking interdisciplinary college, designed to foster radical collaboration at the intersection of computing and other disciplines. By uniting scholars, students, and industry, the CCC is committed to addressing society’s most pressing problems through technology and collaboration. This position is housed in the Center for Generative AI and will work across the university in close collaboration with the Amplify Generative AI Development Team. Key Functions and Expected Performance: Dean’s Office Administrative Support Responsible for scheduling meetings for the dean and coordinating travel on behalf of the dean Serve as receptionist for Dean’s Office Meet regularly with the Dean to coordinate, communicate, and review schedules. Prepare agendas, memos, correspondence, presentations, itineraries, and relevant materials Facilitate travel logistics, planning, distribution of materials as needed, attend meetings to record, prepare and distribute minutes Manage the Office of the Dean phone, voicemail, and email inbox, respond to inquiries and distribute to others in the area for response when needed General office duties and other duties as assigned Supervisory Relationships: This position does not have supervisory responsibility; this position reports administratively and functionally to the Chief of Staff. Experience and Skills: A minimum of 1 year relevant experience is necessary, in an academic setting preferred. Attention to detail, high level of accuracy, and strong organizational skills are necessary. Utmost attention to maintaining confidential information and the security thereof is necessary. Ability to balance the diverse needs of the job and its various constituents (faculty, staff, alumni, visitors, and prospective and current students) and to work with flexibility, and at times under pressure, on several tasks simultaneously and to meet various concurrent deadlines is necessary. Strong proficiency with Microsoft Office Suite, including strong MS Excel knowledge Professional and clear communication skills, both written and oral are necessary; professional experience in higher education is preferred.
