Reports to: Director of Mission Delivery and President/CEO Job Summary: Coordinate program and outreach functions related to the delivery of a quality wish experience throughout the State. Program oversight includes managing the wish process, administering program-related activities, managing program interns and volunteers, cultivation of community partnerships, and upholding the policies and procedures established by Make-A-Wish America. The Program Coordinator must be available to work nights and weekends when necessary to fulfill their job responsibilities. This is an hourly position and the coordinator will be compensated for overtime work. Wish Delivery (90%) •Conduct welcome calls to newly qualified wish families to educate them on the wish process •Obtain necessary documentation from wish families prior to assigning wish granters •Coordinate, request and supervise progress of volunteers through the completion of the wish. •Assist as needed with the budgeted (slotted) wish numbers by month and quarter to ensure annual wish goal is achieved. •Ensure the Foundation’s liability is minimized as much as possible by obtaining appropriate signatures, releases and supervision of each wish granted. •Assist with medical outreach communications, visits and training as directed. •Assist with 24-hour emergency communications for pending wishes and wishes inprogress as required. •Coordinate and attend wish child events as needed. •Develop process to improve, streamline and document wish delivery forassigned wishes. •Complete final closeout of wish files and ensure that volunteers have completedall required paperwork within 30 days of completion of the wish and files areclosed accurately and completely. •Contribute improvement ideas that will continually seek to raise the level of service and quality provided by the Foundation. Administrative Support (10%) •Provide administrative support for the office as needed. •Coordinate database and technology projects related to wishes assigned andjob responsibilities. •Assist with program requirements for annual audits and reports. •Coordinate and publish relative informational documents as needed. •Additional duties as assigned to include but not limited to acting as the back-up to both the Program and Outreach Manager when he/she is out of the office and being cross-trained to support the role of the Operations and Outreach Coordinator when he/she is out of the office. Required Qualifications: •Fluent in English and Spanish. Desired Qualifications •BS/BA or equivalent combination of education and work experience. •2 or more years of related work experience. •Ability to manage multiple tasks simultaneously and meet deadlines. •Proven ability to work effectively with a wide variety of people. •Excellent computer, communication, and presentation skills. •Ability to successfully work independently, yet collaboratively in a diverse, team-orientation organization. •Sales and customer service experience. Physical Requirements •Communicate effectively in person or using telecommunications equipment. •Enter and locate information on computer. •Grasp, manipulate and turn objects of varying size and weight requiring finemotor skills and hand eye coordination. •Sitting position while performing office tasks and while driving. •Ability to type on computer keyboard and use computer mouse. •Write documents and reports using a writing instrument or computer. •Presents information in small or large group settings and to individuals •Reads and visually verifies information often in small print. •Stand, move, and/or walk between offices, departments and during fundraisingor other events, sometimes on uneven ground. •Exposure to inclement and outdoor weather when walking between office buildings and participating in fundraising or events.
