MARKETING COORDINATOR (PROPOSALS) – NEW YORK, NY | NEW ORLEANS, LA

SCAPE is a landscape architecture and urban design practice headquartered in New York with offices in New Orleans and San Francisco. We design and advocate for the ecologically restorative and socially engaged landscapes, urban environments, and nature-based infrastructure of the future.

Our staff of over 80 includes landscape architects, urban planners, architects, ecological designers, horticulturists, and community engagement professionals. We work across disciplines with architects, developers, engineers, foundations, agencies, institutions, and grassroots environmental justice groups on projects across scales.

About the Role The Marketing Coordinator has a critical role within the Marketing Team at SCAPE. We are seeking a candidate with a minimum of two (2) years of experience working hands-on with RFP/Q proposal submissions in the AEC industry. An ideal applicant has an understanding of the RFP/Q response process and workflow, is highly organized, has expert command of Adobe InDesign, strong writing skills to translate design themes into narrative content, an exacting eye for detail, and the ability to work well in a team with a self-motivated, problem-solving attitude.

The Marketing Team consists of a Director of Marketing, a Director of Business Development, a Communications Manager, and another Marketing Coordinator, overseen by SCAPE’s Managing Principal. This role reports to the two Directors and supports the proposal production process.

The Marketing & Proposals Coordinator will bring efficiency to both the front and back end of marketing—maintaining an up-to-date, well-organized cache of marketing materials and crafting graphically compelling materials for new work. A strong familiarity with InDesign templates and brand standards is required.

Location & Compensation This role is based in either our New York headquarters or our New Orleans office. It is in-person with some flexibility to work from home in alignment with company policy. The salary range is $55,000-$70,000 and commensurate with experience.

Responsibilities The Marketing Coordinator will support all levels of the proposal (RFP/Q response) process, including:

Reviewing RFP/Q briefs

and drafting summaries for Principal review/go-no-go decisions;

Managing proposal content layouts —drafting and compiling visually compelling, well-edited proposals in InDesign;

Coordinating among subconsultant teams —leading correspondence and material requests for large, multi-disciplinary teams;

Drafting interview decks —creating visually compelling presentation decks for interviews;

Coordinating review and edits

of graphic materials and narrative content with attention to detail; maintaining file structures and administering a timely review process with the SCAPE Principal Team;

Drafting original proposal materials —including tailored project descriptions and narrative text for baseline use;

Coordinating submission of print and digital proposals —working with local printers to meet specifications and deadlines.

The Marketing Coordinator will also maintain (and, if needed, draft) SCAPE’s marketing materials, including:

Cutsheets

(project summaries with key graphics and information);

Resumes and headshots ;

Firm portfolios and promotional booklets ;

Overall file management

(updating graphics, photos, text, and reference materials).

Other work in support of the Marketing Team and Principal Team may be assigned on an as-needed basis (e.g., coordinating lectures, assembling awards submissions, website updates, digital media) and will be staffed with the two Directors to ensure appropriate time is available.

Required Experience A successful candidate will possess:

A Bachelor’s degree

or higher;

A minimum of two (2) years of experience

working hands-on with RFP/Q proposal submissions in the AEC industry;

Expertise in Adobe InDesign

(formatting print/digital materials, templates, and graphic design);

Experience leading RFP/Q responses , including drafting proposals and coordinating among subconsultants;

Excellent writing and copyediting skills

with strong attention to detail;

General knowledge of the design field

(landscape architecture, urban planning/design, architecture, engineering, etc.);

Excellent organizational and time management skills

with ability to balance high-tide tasks and longer-term initiatives;

Strong relationship management skills

and ability to facilitate a streamlined proposal process amid busy schedules.

Additional Qualifications Though not required, the ideal candidate may also possess:

Additional Adobe software skills (Photoshop, Illustrator, Premiere Pro, After Effects, etc.) and photo/video editing;

Basic graphic design skills (e.g., simple diagrams like site maps, organizational charts, and graphic schedules).
