Freelance In-Person Event Specialist - Fremont, CA

Overview
Visit.org is looking for an experienced, responsible, and driven Freelance Event Specialist, Fremont, CA to help manage the logistics of an upcoming in-person event. The right candidate will be based in Fremont, CA, have corporate event experience, an entrepreneurial spirit, a passion for our mission, and the energy and discipline to build in a start-up tech environment. This is an on-location, per-event contract role in Fremont, CA. No relocation packages are offered at this time. This role is open only to candidates already based in Fremont, CA. Responsibilities
Coordinate all event details, ship event materials, and arrange staffing for each event; be the day-of, on-site hands-on coordinator for fun, engaging, team-building, social impact activities, experiences, and events that support a great cause. Event preparation: join virtual planning meetings ahead of each event with corporate partner, nonprofit partner, Visit.org event host, and Visit.org event coordinators. Take ownership of in-person events: be on-site to set up, align with the on-site team, tear down, clean site areas, problem-solve, and ensure a high-quality customer experience. Represent Visit.org as the on-site leader and problem solver at events. Align roles and responsibilities with the onsite team: event host, nonprofit organization, venue, additional staff, and corporate partner. Manage the check-in process for in-person events; provide a warm and friendly welcome to guests. Problem-solve issues such as missing supplies, late staff, and technology challenges. Escalate issues to the Events Team when necessary to keep them informed or help problem-solve. Send consistent updates, photos, and videos to the Events Team throughout the event. Break down after the event ends, assist with cleaning the site and repackaging and shipping all materials back to the distribution center. Pack supplies and add shipping labels, which may include loading boxes. Qualifications
Fluency in English and strong communication skills Based in Fremont, CA Schedule flexibility to work on a contract-per-event basis, as needed Experience in complex, large-scale events and smaller executive-level intimate events Proven history of executing events at a high level and elevating content and customer experience Resourcefulness and the ability to stay calm under pressure; solutions-minded in ambiguous situations Quick thinker with the ability to problem-solve on the fly and plan backup contingencies Self-starter who is organized and detail-oriented Strong customer service orientation and relationship-building skills Experience with group facilitation and managing group dynamics Ability to work flexible hours, including nights and weekends, as needed Willingness to travel to various areas of the local region Excellent interpersonal skills, especially in fast-paced environments Able to wear many hats and take on varied tasks and projects Comfort being present and interacting with large crowds Physical Demands:
Able to lift, slide, and carry up to 30 lbs. Able to stand for an extended period of time
