Position Summary: We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the CEO of our prestigious family office investment management firm. In this dynamic role, you will play a vital part in ensuring the CEO’s day-to-day activities run smoothly, while also managing interactions with several non-profit organizations associated with the firm. The successful candidate must possess exceptional communication skills, a high level of discretion, and the ability to multitask effectively across various responsibilities. Responsibilities: Administrative Support to the CEO: Manage the CEO’s calendar, scheduling appointments, meetings, and conference calls, while considering the priorities and preferences of the executive. Prepare and organize documents, reports, and presentations for internal and external meetings. Coordinate travel arrangements, including flights, accommodations, and ground transportation, ensuring seamless travel experiences. Handle expense reporting, ensuring accuracy and adherence to company policies. Non-Profit Interaction and Coordination: Act as a liaison between the family office investment management firm and several non-profit organizations. Facilitate communication with non-profit partners, donors, and other stakeholders, conveying the firm’s philanthropic vision and values. Coordinate participation in non-profit events, fundraisers, and philanthropic initiatives. Communication and Relationship Management: Screen and respond to incoming calls, emails, and inquiries on behalf of the CEO, exercising professionalism and diplomacy. Foster positive working relationships with internal team members, external partners, and non-profit organizations. Project Assistance and Special Initiatives: Support the CEO in various projects, research, and special initiatives as required. Collaborate with other members of the team to ensure efficient project execution and successful outcomes. Confidentiality and Discretion: Handle sensitive and confidential information with the utmost discretion, ensuring information security at all times. Event Planning and Coordination: Assist in organizing internal and external events, ranging from meetings and conferences to non-profit fundraisers and gatherings. Handle various administrative tasks, such as filing, record-keeping, and office organization. Qualifications: Minimum of 10 years of relevant experience supporting C-Suite level executives Proven experience as an Executive Assistant, preferably within the financial or investment management industry. Strong organizational and time management skills, with an ability to prioritize tasks effectively. Excellent written and verbal communication skills, displaying a high level of professionalism. Demonstrated ability to maintain confidentiality and handle sensitive information with discretion. Proficiency in using productivity software, including Microsoft Office Suite. A proactive and resourceful approach to problem-solving and anticipating the CEO’s needs. Ability to work independently and handle multiple tasks with minimal supervision. A genuine interest in philanthropy and non-profit work is a plus.
