About Us: We are a fast-growing startup in the legal AI space, building cutting-edge solutions that are reshaping the litigation workflow. Our platform is being used by a range of customers in the legal industry, including some of the world’s largest law firms. We are looking for a highly proactive and resourceful Executive Assistant / Personal Assistant to support our CEO. This role is ideal for someone who thrives in a dynamic environment, anticipates needs before they arise, and is eager to play a pivotal role in the success of both the CEO and the company. The Role : As the Executive Assistant / Personal Assistant, you’ll be providing dedicated support to our CEO. You will handle a mix of business and personal tasks as circumstances arise, ranging from external scheduling and coordination, internal scheduling and coordination, to personal travel planning, personal logistics, and personal tasks as needed. The role requires someone in or near Brooklyn because the CEO works from Brooklyn or Manhattan and travel to those locations will be frequent as the circumstances arise. This is not a role for someone who waits for directions on everything. You’ll need to be a self-starter who can think two steps ahead based on the context, make smart decisions on the fly, and ensure the CEO is prepared for their meetings and appointments and help ensure the CEO’s time and focus are optimized throughout the week. Responsibilities Manage the CEO’s calendar and various external communications with discretion and professionalism Anticipate scheduling conflicts and proactively resolve them Coordinate meetings with internal and external stakeholders, including investors, partners, and team members Prepare meeting materials, agendas, presentations, action items, and follow-ups Arrange complex travel logistics (domestic and international) for both business and personal trips Handle and support personal errands, appointments, and household coordination as the circumstances arise Handle sensitive and confidential information with the utmost discretion Act as a gatekeeper while also ensuring the CEO stays accessible when necessary Serve as a trusted partner, keeping the CEO informed and prepared at all times Identify opportunities to improve processes and bring new ideas to streamline operations Take initiative to handle tasks before they become urgent Provide occasional support outside of standard hours for special events or urgent needs Qualifications 3+ years of experience supporting C-level executives in fast-paced, high-growth environments (startup experience strongly preferred) Proven ability to manage competing priorities with a calm, solutions-oriented approach Exceptional written and verbal communication skills High level of professionalism, discretion, and judgment Highly organized with a sharp attention to detail Strong problem-solving skills Comfortable balancing and handling both executive-level business support and personal assistant responsibilities Tech-savvy and quick to learn new tools and systems Based in Brooklyn, NY (remote role, but occasional in-person availability required) What We Offer Opportunity to play a key role at an innovative startup in the AI space A highly collaborative, flexible, and fast-moving work environment Exposure to strategic decision-making and startup growth operations Potential to evolve into Operations leadership role as the company grows Competitive salary and benefits package Compensation range:
