Reports to: Vice President - People Success Description The Benefits Manager is responsible for the strategic, accurate, and compliant administration of all employee benefits programs across Pro Food Systems’ holding company structure. This role manages benefits activities, including enrollment, eligibility, claims resolution, plan changes, budgeting, and invoice processing. Serving as the primary liaison among employee owners, insurance providers, brokers, and internal stakeholders, the Benefits Manager ensures benefit programs remain competitive, cost-effective, and aligned with organizational goals. The position also leads wellness initiatives, chairs the wellness committee, and supports leave program administration. Success requires strong benefits expertise, attention to detail, and a commitment to high-quality service to employees nationwide. Essential Duties & Responsibilities
Benefits Administration
Develop understanding of the company’s benefits and promote offerings to EO’s. Administer benefit programs, advise EOs on eligibility, assist with questions, and share information. Liaise with insurance carriers/brokers and employees to resolve issues. Conduct benefits discussions during onboarding and offboarding for smooth transitions. Oversee design, implementation, and administration of benefit plans for a self-insured organization with multiple subsidiaries. Manage benefit plans including medical, dental, vision, life, disability, wellness, ESOP, 401k, and voluntary benefits, ensuring competitiveness and compliance. Develop benefit structures and leave requirements for multiple companies, ensuring compliance with federal and state laws. Provide benefits support to employees nationwide, ensuring access and communication. Ensure compliance with ERISA, ACA, HIPAA, COBRA, FMLA, and other regulations, and maintain plan documents and employee communications. Vendor & Broker Management
Act as liaison with insurance carriers, brokers, and employees to resolve issues and explore new programs. Manage relationships with vendors, brokers, and TPAs. Participate in strategy and performance meetings to review plan performance and cost-saving opportunities. Evaluate vendor services and recommend improvements. Ensure full utilization of benefit offerings through brokers and carriers. Financial Analysis & Reporting
Analyze claims, cost drivers, and utilization to recommend plan changes or wellness initiatives. Develop and monitor benefits budgets, forecast expenses, and track variances. Report on plan performance, compliance, and employee satisfaction. Reconcile insurance billing and understand GL reporting, communicating discrepancies. Use third-party systems for benefit administration decisions and cost savings recommendations. Maintain census data and provide to brokers. Programs & Initiatives
Lead annual benefits open enrollment activities. Manage wellness committee and initiatives to improve employee health and reduce costs. Integrate wellness programs into company culture and benefits strategy. Help employees understand self-insured benefits and manage HSA/FSA administration. Coordinate reporting for audits related to 401(k), ESOP, and other benefits. People Success Support
Handle confidential information with discretion. Stay informed on legal changes affecting benefits and report impacts. Provide reporting and analytics from HR systems. Qualifications
Maintain confidentiality and professionalism. Bachelor’s degree in business or HR preferred; applicable experience may substitute. 5+ years HR experience, including benefits and payroll. Knowledge of payroll and accounting principles. Highly organized, detail-oriented, and able to manage deadlines. Proficient with Office software and HR systems. Internet savvy for navigating carrier websites. Working Conditions
Normal office environment. Some overnight travel required. Physical Demands
Prolonged sitting and computer use. Visual and hearing acuity. Ability to lift 25 pounds occasionally. Use of hands for reaching, lifting, and operating office equipment. Ability to communicate effectively in English. Seniority level
