Payroll and Benefits Manager

to join our growing team in Madison, Wisconsin! Summary Scope of Role The Payroll & Benefits Manager is responsible for managing the company’s payroll and benefits administration across multiple locations. This role ensures accurate and timely payroll processing, administers employee benefits, and maintains compliance with federal and state regulations. The Payroll & Benefits Manager also supports employees with payroll and benefit inquiries, partners with property leadership on payroll operations, and serves as a subject matter expert for HR systems and processes. Primary Responsibilities Manage full-cycle, bi-weekly payroll for multiple company profiles, ensuring accuracy and compliance with state (WI, IL, IA, CO) and federal wage and hour laws. Track daily payroll changes and reconcile hours, overtime, bonuses, gross adjustments, and holiday entries. Receive and process wage garnishments, levies, child support orders, and other required withholdings. Collaborate with property leadership to ensure timecards, tip sheets, and payroll data are reviewed and approved on schedule. Prepare pre- and post-payroll journals for management approval, highlighting notable changes. Maintain confidential payroll records and ensure data integrity. Process year-end reporting, including W-2 distribution, reconciliations, and audit requests. Conduct regular audits to ensure payroll compliance. Benefits Administration Manage employee benefit enrollment for new hires, life events, and annual open enrollment. Act as the main point of contact for employee benefit inquiries, providing timely and accurate support. Administer IDM benefit programs (401k, ezICHRA medical plans, EAP, etc.), creating and distributing program communications. Process monthly provider billings, verify accuracy, and coordinate payments. Track and process benefit changes, including status updates, terminations, and dependent updates. Partner with HR leadership and brokers on annual benefit renewals and plan updates. Ensure compliance with COBRA, ERISA, and HIPAA requirements. Leave Management Ensure compliance with corporate leave policies and suggest policy updates where applicable. Support employees with FMLA and short-term disability filings; follow up on required documentation. Maintain accurate leave records and communicate with managers on employee leave status. Manage and facilitate Parental Leave Program. HR Systems and Compliance Serve as subject matter expert (SME) for Paycor HRIS, assisting employees with access, troubleshooting, and training. Ensure compliance with ACA reporting requirements, including accurate preparation and distribution of 1094-C/1095-C forms. Maintain employee personnel files in compliance with recordkeeping regulations. Respond to unemployment claims, employment verifications, and government reporting requirements. Support compliance reporting such as EEO-1, VETS-4212, and other filings as applicable. Stay current with federal, state, and local employment regulations; recommend process changes to ensure compliance. Provide support during external audits. Administration and HR Support Act as primary liaison with payroll providers, benefits brokers, and insurance carriers. Monitor vendor performance, resolve issues, and coordinate system or plan changes. Partner with HR leadership to review, negotiate, and renew vendor contracts as needed. Answer employee payroll, benefits, and HR questions with professionalism and confidentiality. Partner with HR leadership on sourcing, onboarding, and exit processes (including conducting exit interviews). Track and communicate employee milestones, such as birthdays and anniversaries. Foster strong communication and collaboration with property managers, colleagues, and HR team members. All other duties as assigned. Secondary Responsibilities Provide support to Accounting / Finance department as needed. Communicates and consults with appropriate corporate office support departments as necessary Record keeping and file maintenance Monitors email and telephone communications and escalates when necessary Miscellaneous duties as assigned by IDM Executive Committee Supervisory Responsibilities The Payroll and Benefits Manager reports directly to the Executive Director of Human Resources and has a limited scope of supervisory responsibilities based on function of position. Experience and Education High school diploma or GED required; Associate’s degree in HR, Business Administration, or related field preferred. 3+ years of payroll and benefits administration experience; multi-location or multi-client experience strongly preferred. Strong knowledge of payroll systems, HRIS, and best practices; Paycor experience a plus. Knowledge of federal and state payroll and benefits regulations. Proficiency in Microsoft Office Suite (Excel, Word, Outlook). Strong analytical, mathematical, and organizational skills with excellent attention to detail. Ability to maintain confidentiality and handle sensitive information with discretion. Excellent communication and interpersonal skills. Hospitality industry experience preferred. Competencies / Skills / Abilities Advanced knowledge of payroll and benefits administration. Ability to work effectively in a fast-paced, multi-location environment. Strong problem-solving skills; able to adapt to unexpected events. Ability to manage sensitive and confidential information with discretion. Collaborative mindset with ability to partner across departments. Proficiency in HRIS/payroll systems and Microsoft Office Suite Familiar with specific pay plans, benefits administration, 401K, HR policies and regulations specific to the hospitality industry What can you look forward to?
