Responsibilities
Assist with scheduling and managing data entry for job seeker participation in career services programs.
Track member engagement and ensure accurate documentation of career services activities.
Provide general administrative support to the Career Services Unit as needed.
Help organize and prepare for career development workshops, including scheduling, material preparation, and registration management.
Assist with logistical arrangements to ensure smooth workshop delivery.
Respond to job seeker inquiries, offering guidance on career services and job search steps.
Assist members with accessing available resources and provide support during recruitment events.
Review job seekers' job readiness profiles and assign them to appropriate Career Services Specialists for further guidance.
Guide job seekers through the Career Services baseline assessment process, ensuring they understand next steps.
Maintain accurate and up-to-date records of member participation and services provided.
Support Career Services Specialists with re-engagement efforts and performance tracking.
Help coordinate logistics for job fairs and recruitment events.
Assist employers and members during events to ensure successful engagement and outcomes.
Qualifications
High School Diploma or GED required. Bachelor's degree in Human Resources or related field preferred.
Minimum (2) two years of administrative experience in a job-related environment.
Experience in a workforce development or career services setting.
Bilingual candidates strongly encouraged to apply; proficiency in Spanish, Haitian Creole, or other languages is a plus.
Strong organizational and multitasking skills.
Familiarity with Learning Management platforms and software (e.g. Docebo)
Familiarity with iCIMS or similar Applicant Tracking Systems (ATS).
Willingness to travel throughout the five boroughs, Hudson Valley and Long Island as needed to support recruitment and placement activities.
This position requires schedule flexibility, including participation in a rotating shift that alternates between a standard 9:00 AM–5:00 PM (in office) and a 12:00 PM–8:00 PM (remote) hybrid schedule to support job seekers during extended hours based on operational needs.
