We are currently seeking a highly-organized, personable Legal Assistant to join our team. This role combines three key responsibilities: Client Intake, Medical-Legal Scheduling, and Deposition Coordination. As a primary point of contact for both new and current clients, you will play a vital role in ensuring a seamless, timely, and professional experience.
Responsibilities
Client Intake: Serve as one of the first points of contact for prospective clients
Client Intake: Provide and explain intake documents, assisting clients as needed to ensure forms are completed accurately and thoroughly
Client Intake: Review and process intake questionnaires and supporting documents for attorney review
Client Intake: Create client case files and enter complete, accurate information into the case management system
Client Intake: Maintain ongoing communication with prospective clients and assist with onboarding new clients
Client Intake: File Applications for Adjudication of claims with the WCAB and serve all appropriate parties
Medical Scheduling: Schedule medical-legal evolutions, including AQME, PQME, PTP, and STP appointments
Medical Scheduling: Coordinate with physician offices to confirm availability, send notice of appointments, and provide QME advocacy letters
Medical Scheduling: Track and calendar all medical-legal deadlines and appointment timelines
Medical Scheduling: Request panel QME lists as needed
Medical Scheduling: Monitor med-legal report due dates and assist with follow-up
Deposition Coordination & Legal Support: Schedule and confirm depositions with clients, attorneys, and defense counsel
Deposition Coordination & Legal Support: Calendar depositions, medical evaluations, hearings, and other critical deadlines
Deposition Coordination & Legal Support: Prepare and coordinate deposition preparation materials
Deposition Coordination & Legal Support: File legal documents in EAMS (e.g. Applications, COAs, DORs, Liens)
Deposition Coordination & Legal Support: Organize and maintain client case files
Deposition Coordination & Legal Support: Serve medical-legal reports and other discovery materials to defense counsel
Administrative Support: Provide administrative support to attorneys, paralegals, and the firm administrator
Confidentiality: Maintain confidentiality and uphold legal privacy
Qualifications
Experience in California Workers' Compensation (required)
Strong written and verbal communication skills
Excellent organizational skills with the ability to manage multiple deadlines
Comfortable interacting with high-profile clients, including professional athletes
Experience with EAMS and WCAB procedures (preferred)
Proficiency in Microsoft Office, Dropbox, and case management systems
Self-starter with a collaborative and proactive work style
Preferred Qualifications:
Bachelor's degree or Paralegal Certificate (or equivalent work experience)
1+ years of experience as a Legal Assistant or Legal Secretary in a Workers' Compensation setting
Interest in or an appreciation for professional sports and athlete advocacy
