As one of ten state agencies in the country to combine library, archival, andpublic records programs, the department is uniquely positioned to meet these needs.

We are seeking an Administrative Specialist to provide professional administrative support to internal staffand leadership related to the State Records Center Section's operations.

This position is not eligible for telecommuting.

The duties include but are not limited to: Update and manage records databases pertaining to inventory, including the addition and removal of records. Using database, create reports for supervisor. Assist in collecting data for monthly and annual statistical reports. Assist Property Officers in conducting regular, ongoing audits of agency transmittals to certify accuracy in reports related to billing, inventory, and statistics. Assist Administrative Specialist Senior with office operations such as records requests and ensuring filing meets department organization standards. Initiate records request process in the records database. Perform other duties as required. This position will have access to confidential and sensitive information. The successful candidate will berequired to ensure the safeguarding and security of all confidential and sensitive information and will berequired to complete trainings, sign acknowledgements, follow all policies and adhere to all statutes andrequirements pertaining to the safeguarding and security of confidential and sensitive information whileemployed and after employment ends.

Minimum Requirements

EDUCATION: Graduate of a college or university with a bachelor's degree.

EXPERIENCE, TRAINING, OR SKILLS: One year of professional, administrative, or business experience.

Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.

Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Working Conditions

Incumbents working in this job title primarily perform duties in an office setting.

Probationary Period

This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
