Overview
Administrative Assistant position within Northern Nevada Medical Group (NNMG), part of Northern Nevada Health System. NNMG offers a comprehensive range of healthcare services for the entire family, including wellness, family, geriatric and internal medicine, plus specialty care such as cardiology, general surgery, podiatry and sleep medicine. IPM (Independence Physician Management) is a subsidiary of UHS and develops multi-specialty physician networks and urgent care clinics aligned with UHS acute care facilities.

Responsibilities
The Administrative Assistant provides a wide variety of clerical and specialized administrative functions that may be confidential in nature. Primary responsibilities include capturing, preparing, and composing data for the IPM Leadership Team; screening calls, receiving and directing visitors, and resolving routine inquiries; scheduling and maintaining calendars and travel itineraries; coordinating internal meetings with outside vendors and management (booking conference rooms, conference call information, and meal planning as needed); preparing and distributing minutes; handling confidential information with discretion; assisting in revisions, formatting, and editing guidelines, policies, and procedures; maintaining the most updated versions in appropriate databases; providing clerical support (filing, copying, mailings, etc.); organizing education programs for staff as directed by the IPM Leadership Team; supporting Market programs, projects, and processes; and interacting professionally within a diverse environment. Tasks and projects are accomplished with minimal supervision and may require independent thinking and creative analysis.
- Delivers administrative support on projects; researches and collects information, compiles data, and prepares data for the IPM Leadership Team.
- Screens telephone calls, receives and directs visitors, and resolves routine inquiries; schedules and maintains calendar of appointments and travel itineraries.
- Provides support for meetings (agendas, room reservations, sending invitations, coordinating catering, recording and distributing minutes). Sets up and troubleshoots phone, video, and web conferencing.
- Assists in revisions, formatting, and editing of guidelines, policies, and procedures; maintains the most updated version in the appropriate database.
- Utilizes and maintains basic office equipment (computers, scanners, phones, fax, printers, copiers) and coordinates routine maintenance as needed; ensures the office area is in proper working condition.

Qualifications
Required Knowledge, Skills, Licensure, Training & Travel Requirements (if applicable):
Education:
- High School Diploma or equivalent required
- Technical School/2 Years College/associate’s degree preferred
- Minimum 3 years experience using advanced computer skills and coordinating projects
- Experience in healthcare billing preferred
- Demonstrated strong interpersonal skills
- Excellent verbal and written communication skills
