Overview
The Administrative Assistant will join a team-oriented and energetic group providing excellent client project and administrative support. The incumbent will have opportunities to learn about Segal’s business systems and markets.
Responsibilities
- Proofing/Editing: incorporate editing and proofing changes to reports, correspondence and other documents in Word, PowerPoint and/or Excel formats; make grammatical, numerical and formatting corrections as needed.
- Preparing Reports and Other Correspondence: prepare standard reports, draft cover notes, memos and other non-confidential correspondence as requested; produce and distribute information to unit/department members, vendors, clients and prospects as directed.
- Coordinating Meetings/Travel: schedule internal/external meetings; provide logistical assistance with travel arrangements and meeting preparations, coordinating with vendors, suppliers and other outside parties as needed.
- Managing Files: create, update and maintain electronic files and databases for internal and external application.
- Managing Own Work Assignments: plan and implement work assignments; ensure own work is completed in a timely, high-quality and efficient manner; seek clarification when needed and escalate issues to others as appropriate. Depending on size and complexity, the role may involve working independently or with other administrative staff.
- Handling Miscellaneous Tasks: prepare expense reports; coordinate schedules of unit/department members; provide other support services as requested.
- Documenting Workstation Processes: maintain up-to-date descriptive manuals of own work processes to ensure smooth operations during absences or departures.
- Developing Peer Staff Members: may provide technical coaching and/or mentoring to newer administrative staff and peer-review others’ work as requested.
Experience, Education And Skills
- Work Experience: 2-5 years of administrative support experience, preferably in a service-oriented environment. Ability to handle multiple tasks and meet deadlines within established timeframes and quality standards.
- Educational Background: high school diploma or equivalent; undergraduate degree preferred.
- Special Skills or Credentials: proficiency with Microsoft Office (Word, Outlook, Excel, PowerPoint) and willingness to learn new software; ability to navigate the Internet for research; strong command of English language, grammar, data and numerical charts; effective interpersonal and written/oral communication skills.

The current salary range for this position is $54,000 to $65,000 plus discretionary performance bonus based on profitability and performance.
