Position Overview

We are seeking a reliable, detail-oriented, and personable Office Assistant to support our Santa Monica office. As the first point of contact for guests and callers, you will play a critical role in delivering a professional and welcoming experience that reflects the HYBE America brand. You’ll be responsible for managing front desk operations, supporting daily office functions, and ensuring a positive and organized workplace environment. You will work closely with the Office Manager to ensure seamless office operations and assist in implementing various internal initiatives and events.

Responsibilities

  • Open and close the office each day
  • Perform general front desk reception duties: answer, screen, and route incoming calls; greet and check in visitors; issue parking validations; schedule and manage conference room bookings and Zoom/Google Meet calls
  • Collaborate with the Office Manager and other departments on internal projects and office initiatives
  • Submit and track monthly expense reports using Concur
  • Process invoices in coordination with the Accounting team using E-Accounting
  • Handle confidential information and documents with discretion and professionalism
  • Oversee ordering and inventory of office supplies, snacks, and other essentials
  • Maintain cleanliness and organization in shared office spaces (kitchen, supply rooms, restrooms, etc.)
  • Manage all mail and package handling, including shipping and receiving
  • Coordinate with building management to resolve office maintenance and facility issues
  • Program and issue key cards for new hires
  • Assemble and distribute welcome kits for new team members
  • Assist in planning and executing internal office events in collaboration with the Office Manager
  • Maintain and regularly update internal spreadsheets and documents

Qualifications

  • Minimum 2 years of experience in an administrative or office assistant role
  • Proactive, self-motivated, and capable of multitasking under tight deadlines
  • Excellent interpersonal, communication, and organizational skills
  • Professional demeanor with a can-do attitude—no task is too big or too small
  • Comfortable in a fast-paced, ever-changing work environment
  • Proficient in Apple iOS, Microsoft Office Suite, and Google Workspace (Docs, Sheets, Calendar, etc.)

Salary

Base pay range: $45,000.00/hr - $50,000.00/hr
