Document Management Specialist (Human Resource, Payroll, AI, Process Mapping) Location: Thousand Oaks, CA – 100% Remote Duration: Till June 2026 with possible extension Terms: Contract W2 Employer: Aequor Base pay range: $32.00/hr - $36.00/hr Responsibilities

Development of payroll process documentation with the ability to deliver high-quality process maps, assessments, and related business materials. Support the mapping of payroll processes (both critical and non-critical) in accordance with agreed timelines, ensuring accuracy, consistency, and adherence to standard process mapping formats and guidelines. Assist in the creation and facilitation of workshops with Subject Matter Experts (SMEs) to capture process details, validate flows, and document supporting information. Develop opportunity assessment readouts based on information gathered from SMEs and project stakeholders, highlighting potential areas for efficiency, automation, or standardization. Support the capture of process performance metrics, partnering with project leads to align on definitions, tracking, and reporting. Leverage AI tools such as ChatGPT or similar technologies to enhance documentation, generate structured materials, and support facilitation preparation. Liaise with project team members (e.g., Business Process Owners, Document Owners, SMEs, and Continuous Improvement Leads) to ensure documentation reflects end-to-end payroll operations. Contribute to the review cycle, incorporating feedback and updates to finalize process maps and supporting documents. Maintain accurate tracking of deliverables and provide regular updates to the project team and designated points of contact. Participate in working sessions with Payroll SMEs to capture process details, decision points, and exceptions. Develop and update process maps in Miro, ensuring alignment with standard formats and conventions. Draft and refine opportunity assessment readouts, summarizing key findings and potential efficiency or automation opportunities. Prepare for and support workshop facilitation (agenda prep, miro frames and materials, documentation, and follow-ups). Use company approved AI tools (e.g., ChatGPT, generative AI platforms) to streamline drafting of documentation, workshop materials, and summary notes. Collaborate with project team members (Process Owners, Document Owners, Continuous Improvement Leads) to validate and finalize documentation. Maintain an inventory of process documentation and track progress against deliverables. Contribute to the review cycle, incorporating stakeholder feedback and ensuring documentation accuracy and completeness. Assist in the capture of process performance metrics by partnering with project team to collect data and maintain alignment with reporting standards. Provide weekly status updates to the project manager/team, highlighting progress, risks, and support needs. Qualifications

Experience in process documentation and mapping (Miro, Lucidchart, or equivalent) with the ability to deliver clear, high-quality materials. Familiarity with payroll or HR/finance-related processes preferred but not required. Strong facilitation and collaboration skills, with the ability to engage SMEs across multiple regions and time zones (primarily virtual). Sound organizational and project support skills, with the ability to manage multiple tasks and meet deadlines. Proficient verbal and written communication, with attention to accuracy and detail. Strong working knowledge of Microsoft Office applications (Word, Excel, PowerPoint) and familiarity with process documentation tools. Demonstrated ability to apply AI tools (e.g., ChatGPT, other generative AI platforms) to streamline documentation, analysis, and preparation of facilitation materials. Top Skills

Process Mapping & Documentation Expertise Analytical & Technology-Enabled Problem Solving Job Requirements

3+ years of experience in process improvement, documentation, or operational support roles; experience in global or cross-functional teams is preferred. Preferably 3+ years in finance, payroll, business process management, and supply chain. Basic qualification: Associate’s degree and 2 years of experience or a high school diploma/GED and 4 years of experience, or equivalent. Job Function & Industry
