This position manages all aspects of the College of Medicine, Department of Microbiology and Immunology PhD programs and academic advising for graduate students, including admissions and recruitment, enrollment management, program evaluation, and administrative organization and communication. Works closely with the Department Head on administrative activities.

Duties & Responsibilities

Academic Advising and Program Management

Counsel and advise graduate students on academic and career concerns; develop individual academic and career goals; identify educational and career options and analyze outcomes and implications.

Assist with course selection, university requirements, research laboratory rotations, financial aid, and scholarship/fellowship opportunities.

Advise and guide students through preliminary examinations and thesis defenses.

Develop and implement alumni relations plans and promote alumni participation in professional development, departmental research, education and training programs.

Instructional Activities and Workshops

Plan and prepare instructional activities and course outlines in accordance with university policies.

Course scheduling in conjunction with the Office of Classroom Scheduling; coordinate with DGS/Dept. Head on course offerings.

Develop and conduct workshops on career and professional development topics.

Plan, manage and implement educational activities engaging students (e.g., weekly student seminars).

Oversee elements of the department's academic programs, including grade management, course enrollment, student records, handbook, and website maintenance.

Design and create ad hoc reports; communicate with faculty and departmental administrators on behalf of students; provide resource referrals for external issues affecting matriculation.

Promote student organizations and participation in professional development activities; manage student support activities and events.

Recruitment, Outreach, and Admissions

Develop and evaluate departmental marketing strategies to recruit new students; manage departmental website.

Manage admissions policies and procedures including records management, deadlines and decisions; coordinate reviews and input decisions in the online system.

Respond to prospective student inquiries and coordinate visits for applicants invited for interviews.

Collaborate with academic partners, non-profit and government organizations, health agencies, alumni and others to strengthen student education through fellowships and development opportunities.

Plan and implement graduate orientation initiatives.

Administrative

Plan events and meetings; coordinate travel and hotel accommodations; schedule seminars and arrange meals.

Record and transcribe minutes for faculty meetings; manage scheduling of classrooms and conference rooms.

Provide administrative support to the department head (calendar, correspondence, lab meeting schedule, room reservations, lab website management).

Manage departmental website and social media presence; assist in coordinating scientific meetings and collaborations.

Serve as point of contact for faculty, students, staff and visitors; act as a delegate for reimbursements in Chrome River; assist with ordering supplies for the department head's laboratory.

Perform other related duties and participate in special projects as assigned.

Minimum Qualifications

Bachelor's Degree required. Master’s degree preferred.

At least one year of experience in an academic advising or career services counseling role in a college/university setting; prior experience advising healthcare education or professionals preferred.

Knowledge of career services, student development theory related to career exploration, and the career development process.

Knowledge of learning styles, motivation, study skills, and obstacles to learning.

Knowledge of federal/state financial aid programs, eligibility, and regulations preferred.

Knowledge of health careers and career requirements preferred.

Computer literacy; ability to work independently and as part of a team; strong organizational, communication and interpersonal skills.
